Job Summary

The QA Coordinator (Documentation & Compliance) is the custodian of the documented evidence on which batch release and inspection readiness depend.The role performs first-pass review of every completed record from both facilities, controls the issuance and retrieval of controlled documents, administers training records, and maintains the SharePoint and electronic QMS structure.It exists so that record review, document control and QMS administration are performed to a defined standard and on a defined weekly cadence, rather than absorbed by the QAQC Lead or the QAP. Reporting & Structure

1. Reports to: QAQC Lead.
2. Location: 50% in Oyen, AB, and 50% in Red Deer, AB
3. Scope: Controlled documents, batch records, logbooks, forms, training records and the electronic QMS for both facilities, including records generated at Oyen.
4. Cover: in the absence of this role, the QAQC Lead holds record review; a backlog exceeding one review cycle is reported to the QAP.

Key Responsibilities
1. Record Review & Reconciliation

a. Perform first-pass review of all completed batch records for completeness, accuracy and ALCOA+ compliance. b. Verify reconciliation of materials and yields and check the calculations rather than accept them.

c. Return incomplete or incorrect records for correction and track every correction to closure.

d. Escalate discrepancies to the QAQC Lead before the record progresses toward release.

e. Review logbooks, cleaning records and calibration records on the defined schedule.

1. Document Control

a. Issue controlled documents, forms and logbooks,



and retrieve superseded copies. b. Maintain the controlled forms register and the document control register.

c. Format SOPs and controlled documents to the HGM document standard.

d. Support document lifecycle activities including drafting support, revision and archiving.

e. Maintain the archive and the retention schedule.

1. QMS & Systems Administration

a. Administer the SharePoint document library and electronic QMS structure and permissions. b. Keep the document status view current so that anyone can see what is draft, under review, awaiting signature and effective.

c. Maintain organized, retrievable records for audits, inspections and regulatory reporting.

d. Enforce ALCOA+ and real-time documentation practices in everything received.

1. Training Records & Metrics

a. Administer and file training records and reconcile completion against the training matrix. b. Report training gaps to the QAQC Lead and the QA Coordinator (Training & Systems).

c. Update documentation and training metrics for the monthly quality pack.

1. Weekly Focus

a. Review every record completed in the preceding week before the weekly quality meeting. b.



Chase corrections; nothing is left open across two review cycles.

c. Confirm training compliance is current and reconcilable.

d. Update metrics and issue them to the QAQC Lead.

Qualifications, Knowledge & Skills

1. Post-secondary education, or equivalent experience in a regulated documentation role.
2. One to three years in a regulated environment; cannabis, pharmaceutical or food preferred.
3. Strong math and analytical skills; comfortable performing and checking reconciliations.
4. Exceptional attention to detail — the role exists to catch what others missed.
5. Proficiency in Microsoft Office and SharePoint, and general electronic QMS data handling.
6. Willingness to return incomplete records, and to keep returning them until they are right.

Mandatory
1. Must not have any criminal convictions involving drug-related offences, (a criminal record check with the RCMP will be required prior to and at the CEO's discretion to maintain the position).
2. Applicants must have legal authorization to work in Canada with no restrictions.
3. Must have reliable transportation as our facilities are out of town.
4. Must comply with all gowning, sanitation and hygiene requirements applicable to the areas entered.
