We are seeking a friendly, organized, and dependable Receptionist / HR Assistant to join our team. This position is ideal for someone who enjoys working with people, can manage changing priorities, and is interested in supporting both Human Resources and general administration in a busy long-term care environment.

Position Summary The Receptionist / HR Assistant provides reception, administrative, and Human Resources support to Salem Manor's leadership team. As one of the first points of contact for the organization, this position helps create a welcoming and professional environment for residents, families, visitors, employees, and applicants.

The successful candidate will support recruitment and onboarding, internal job postings, reception and office administration, employee records, communications, and other day-to-day HR and administrative activities.

This is a temporary position for a maternity leave coverage for 12 months.

Key Responsibilities

Human Resources & Administrative Support

- Support recruitment activities in collaboration with the HR Advisor and hiring managers.
- Contact candidates and coordinate interviews for external applicants.
- Assist with new employee onboarding, orientation, and related documentation.
- Support internal job postings and position awards in accordance with applicable collective agreements.
- Assist with maintaining employee and HR records, including electronic filing and document management.
- Monitor HR inquiries and ensure appropriate follow-up.
- Assist employees and new hires with general HR and onboarding questions.
- Support staff identification and key-card administration.
- Prepare correspondence, notices, posters, and other employee communications.
- Provide general administrative support to the leadership team.
- Assist with special projects and other HR or administrative activities as required.





Reception & Office Support
- Provide a friendly and professional first point of contact for residents, families, visitors, employees, and applicants.
- Greet visitors and direct them to the appropriate person or department.
- Manage incoming telephone calls, messages, and general inquiries.
- Manage incoming and outgoing mail and courier services.
- Maintain office supplies and assist with ordering as required.
- Assist with scheduling, meetings, filing, photocopying, scanning, and general office administration.
- Assist with staff engagement initiatives, organizational events, and resident events as required.
- Assist with maintaining the organization's website and preparing electronic communications in collaboration with the leadership team.
- Maintain a professional, organized, and welcoming reception and office environment.

Professional & Resident-Focused Support
- Build positive working relationships with residents, families, employees, visitors, and members of the interdisciplinary team.
- Communicate respectfully and effectively with residents, including those living with cognitive impairment.
- Handle confidential and sensitive employee, resident, and organizational information with discretion.
- Demonstrate professionalism, sound judgment, initiative, and strong customer service.
- Follow Salem Manor policies and procedures and applicable Occupational Health and Safety requirements.
- Perform other related duties as assigned.

Qualifications & Requirements
- Minimum one (1) year of office administration experience, including recruitment or Human Resources support, preferred.
- Administration Certificate or related education is considered an asset.




- Previous experience in long-term care or health care is considered an asset.
- Proficiency with Microsoft Word, Excel, Outlook, and other computer applications.
- Experience with ADP or other HR/payroll systems is considered an asset.
- Strong verbal and written communication skills.
- Excellent organizational and time management skills with the ability to manage multiple priorities.
- Strong attention to detail and accuracy.
- Excellent customer service and interpersonal skills.
- Ability to exercise tact, discretion, and sound judgment when handling confidential information.
- Ability to work independently while contributing effectively as part of a team.

Schedule & Position Details
- Monday to Friday
- 8:00 a.m. to 4:15 p.m.
- This position is not eligible for employee benefits.
