Touring & Event Operations Coordinator

Position: Touring & Event Operations Coordinator (Job Creation Partnership Program)

Hours: 35 hours per week

Duration: 52 weeks

Compensation: $685 per week

Location: In-office, St. John’s, Newfoundland & Labrador

About Opera on the Avalon

Opera on the Avalon (OOTA) is Atlantic Canada’s only professional opera company, based in St. John’s, Newfoundland and Labrador. OOTA produces live opera, concerts, digital and film projects, and programming that supports emerging artists and celebrates Newfoundland and Labrador talent.

Behind every successful performance is a tremendous amount of planning, coordination, communication, and problem-solving. We are looking for someone who enjoys being at the centre of that work and making sure all the pieces come together.

The Prospect

Opera on the Avalon is seeking a highly organized, dependable, and energetic Touring & Event Operations Coordinator to join our team for a 52-week position through the Job Creation Partnership Program.

You are the person behind the scenes making sure everything is where it needs to be, when it needs to be there. You’ll help coordinate schedules, travel, venues, equipment, accommodations, load-ins, rehearsals, performances, and the hundred details that have to line up before anyone in the audience notices anything at all.

Working closely with the OOTA team, artists, production personnel, venues, suppliers, and community partners, you will help turn plans into successful events and performances.

Key Responsibilities

Touring & Travel Coordination

· Assist with planning and coordinating artist and staff travel.

· Coordinate accommodations, transportation, schedules,



and itineraries.

· Prepare and distribute travel and tour information.

· Communicate with artists, staff, venues, and other partners regarding travel arrangements.

· Help ensure touring teams have the information they need before and during travel.

Event & Production Operations

· Assist with planning and coordinating events, performances, rehearsals, and other activities.

· Coordinate venue details, schedules, access requirements, and event logistics.

· Assist with load-ins, loadouts, equipment movement, and venue preparation.

· Help coordinate technical and production requirements with venues and production teams.

· Create and maintain event schedules, timelines, checklists, and production information.

Scheduling & Communication

· Maintain detailed calendars and schedules for performances, rehearsals, tours, and events.

· Coordinate schedules between artists, staff, venues, suppliers, and partners.

· Communicate updates, changes, and important information to the appropriate people.

· Help identify scheduling conflicts and find practical solutions.

Administrative & Organizational Support

· Maintain organized records, contracts, itineraries, contact lists, and event documentation.

· Assist with purchase orders, invoices, receipts, and other administrative tasks.





· Track deadlines, bookings, deliverables, and operational requirements.

· Assist with preparing reports, schedules, spreadsheets, and other project materials.

Event-Day Support

· Assist with the coordination of events and performances from set-up through completion.

· Help ensure artists, staff, equipment, and materials are where they need to be.

· Respond to last-minute changes and operational needs.

· Work with the team to troubleshoot issues and keep events running smoothly.

What We're Looking For The ideal candidate is someone who:

· Is highly organized and enjoys keeping track of details.

· Can manage multiple priorities and deadlines at once.

· Has strong communication and interpersonal skills.

· Can think quickly and calmly when plans change.

· Is dependable, proactive, and willing to take initiative.

· Enjoys planning, coordinating, and problem-solving.

· Is comfortable using computers, email, calendars, spreadsheets, and other office software.

· Can work independently while also being an effective member of a team.

Previous experience in event planning, production, touring, hospitality, administration, or logistics is an asset, but not required. We are looking for someone who is organized, willing to learn, and excited to be part of the work that happens behind the scenes.
