Job Overview
We are seeking a highly organized and detail-oriented Office Manager to oversee daily administrative and financial operations within our organization. The ideal candidate will possess strong accounting skills, proficiency with various accounting software, and the ability to manage multiple responsibilities efficiently. This role is vital in ensuring smooth office functioning, accurate financial record-keeping, and effective communication across departments. The Office Manager will play a key role in maintaining the integrity of financial data, supporting budgeting processes, and ensuring compliance with company policies.
Duties
Manage day-to-day office operations, including administrative support and staff coordination
Oversee bookkeeping functions such as accounts payable and accounts receivable processing
Utilize accounting software such as QuickBooks
Perform account reconciliation and bank reconciliation to ensure financial accuracy
Conduct account analysis to identify discrepancies or irregularities in financial records
Prepare financial reports and assist with budgeting activities to support strategic planning
Process payroll accurately and on time using appropriate payroll systems
Maintain organized financial records and ensure compliance with regulatory standards
Support internal audits by providing necessary documentation and explanations
Coordinate communication between departments, vendors, and clients as needed
Qualifications
Proven experience in office management with a solid background in accounting or bookkeeping
Proficiency with accounting software such as QuickBooks
Knowledge of payroll processing, accounts payable/receivable, and account reconciliation
Strong understanding of account analysis, bank reconciliation, and budgeting processes
Excellent organizational skills with the ability to multitask effectively
Attention to detail and high level of accuracy in work output
Strong communication skills for effective collaboration across teams
Ability to adapt to recent software tools and stay current with industry best practices
Prior experience in an administrative or managerial role is preferred but not mandatory
