Customer Service Welcome customers promptly and gather prescription information according to Standard Operating Procedures (SOPs)
Carry out responsibilities based on assigned duties and priority schedules
Direct all clinical questions regarding medications, medical conditions, recommendations, or fees to the pharmacist in accordance with policy and legal requirements
Communicate clear wait time expectations and maintain effective customer communication
Retrieve and process prescriptions and purchases following SOPs
Provide accurate non-clinical information and address customer concerns appropriately, involving the pharmacist when required
Guide customers to educational resources when appropriate
Ensure customers requiring counseling are referred to the pharmacist promptly
Process cash transactions according to company cash-handling procedures
Respond to customer inquiries both in person and over the phone
Maintain strict confidentiality and privacy standards
Administration Process new and refill prescriptions according to SOPs
Prepare and submit orders for medications, OTC products, and special requests (excluding controlled substances)
Process third-party billing claims online and manage manual claims while collecting any outstanding balances
Answer phone calls professionally and route inquiries appropriately
Assist physicians and clinics with placing orders and coordinating timely deliveries
Handle incoming faxes in accordance with pharmacy standards
Support pharmacists with follow-up calls and administrative tasks
Identify patients who may benefit from additional pharmacy services and provide assistance as needed
Contact physicians’ offices when necessary, such as for authorization requests, while maintaining accurate documentation
File and organize documentation accurately and promptly
Generate reports when required
Front Shop Merchandising Order and maintain non-prescription inventory, including stock rotation and expiry checks
Assist with opening and closing procedures, including locks, panels, and gates
Update and maintain patient education materials and in-store signage
Prescription Workflow Support prescription preparation according to company standards
Enter information for new prescriptions and process refills
Adjudicate third-party claims and update records when necessary
Select medications based on established standards and preferred brands
Accurately count, measure, package, and label prescriptions while ensuring complete documentation
Assist with mixing, reconstituting, and compounding prescriptions under pharmacist supervision
Receive prescription requests by phone or in person
Maintain accurate records within pharmacy systems
Coordinate with IT support or third-party providers to resolve technical issues
Prioritize prescriptions based on workflow demands
Prepare required documentation to accompany prescriptions
Inventory Management Assist with coordinating compounding lab operations
Support inventory management under pharmacist supervision
Ensure medications are stored and organized properly
Maintain accurate perpetual inventory records
Restock pharmacy inventory, including special orders
Receive and unpack deliveries securely
Manage narcotic inventory under pharmacist supervision with accurate recordkeeping
Process returns and expired products according to disposal procedures
Respond to product recalls by isolating and quarantining affected inventory
Rotate stock regularly and remove expired items promptly
Maintain preferred generic medication inventory
Perform cycle counts according to SOPs
General Responsibilities Assist pharmacists in providing high-quality patient care
Maintain a professional appearance and follow dress code guidelines
Support marketing initiatives when required
Stay informed about internal communications and updates
Demonstrate proficiency with pharmacy systems
Follow all SOPs and comply with provincial and federal regulations
Adhere to loss prevention policies
Keep the workspace clean, organized, and professional
Skills & Qualifications Diploma from an accredited Pharmacy Assistant program preferred
1–2 years of pharmacy experience preferred
Retail experience considered an asset
Experience with sterile and non-sterile compounding preferred
Strong customer service skills with the ability to build positive patient relationships
Excellent verbal and written communication skills
Proficiency in Microsoft Office programs, including Excel and Outlook
Familiarity with Nexxsys software considered an asset
Strong organizational and multitasking skills
Effective problem-solving abilities
High attention to detail
Minimum of 2 years of experience as a Pharmacy Technician preferred
