Position Summary:
The Office Administrator & Bookkeeper will play a key role in ensuring the smooth day-to-day operations of the FracWorx office. This position is responsible for full-cycle bookkeeping, office administration, safety program coordination, insurance and registration management, and capital asset tracking.
Job Duties & Responsibilities:
Bookkeeping & Finance
- Perform daily processing of cost sheets and customer invoicing using multiple platforms.
- Set up new customers in accounting systems.
- Regularly process accounts payable invoices and manage cheque runs for approval.
- Set up vendor and subcontractor payments through RBC online banking for review and authorization.
- Track subcontractor revenue and expenses, repairs and maintenance, and capital asset activity.
- Reconcile bank accounts and company credit card (Visa) transactions.
- Process payroll semi-monthly (15th and end of month).
- Prepare and post adjusting journal entries.
- Generate GST returns and payroll remittance reports.
- Support year-end working paper preparation for the company’s accountant.
- Assist with cash flow forecasting.
Office Administration
- Maintain and organize office supplies, filing systems, and general correspondence.
- Provide day-to-day support to the management team.
- Handle incoming calls, emails, and office inquiries.
- Assist with onboarding and offboarding of employees.
- Manage internal document control and administrative support tasks.
Safety Administration
- Track employee safety certifications and assist with documentation.
- Support coordination of safety meetings and reporting.
- Ensure internal safety records are current and compliant.
Insurance & Registration
- Coordinate corporate insurance renewals and documentation.
- Manage vehicle and equipment registrations and renewals.
- Track and maintain documentation for regulatory compliance, permits, and licenses.
Capital Asset Tracking
- Maintain up-to-date inventory of capital assets, including vehicles and equipment.
- Monitor depreciation, maintenance schedules, and warranty information.
- Other job duties as required, as the above duties and responsibilities may change at any time with or without notice.
Qualifications:
- Bachelor’s degree in business management or equivalent combination of education and experience, an asset.
- Basic bookkeeping and office admin knowledge and experience
- Effective attention to detail and a high degree of accuracy.
- High level of integrity,
confidentially, and accountability.
- Oil & gas related experience an asset
- Sound analytical thinking, planning, prioritization, and execution skills.
- Able to effectively communicate both verbally and in writing.
- Experience creating and managing budgets for a large, distributed organization.
- Robust problem identification and problem resolution skills.
- Computer skills including data entry, excel, accounting software and Microsoft Office Suite.
- Ability to work independently.
- Understanding of safety administration and compliance processes is an asset.

Work Environment / Physical Demands
- Manual dexterity required to use desktop computer and peripherals.
- Reaching above shoulder height or below the waist as well as some lifting as required.
Expected Hours or Work:
- This is a part-time position in office. The expectation is that the hours will be Monday to Friday 10am-4pm or 9:30am-3:30pm, which may vary depending on the workload. This will be determined in the interview with the CFO and Controller.
