Position: Administrative Assistant
POSITION OVERVIEW
BIC Canada Immigration is seeking an Administrative Assistant for its main office in Brampton. The right candidate will have the natural ability to welcome and engage clients, while ensuring administrative tasks are handled with accuracy and professionalism. This is a starter-level position, ideal for recent graduates of community colleges who are eager to build their careers in an office setting.
POSITION SUMMARY
Position: Administrative Assistant
Location of Employment: Unit #24, 811 Bovaird Drive W, Brampton, ON, L6X 0T9
Hours of Work: 40 hours per week
Salary Offered: $37,000 annually, paid on a semi-monthly basis (subject to applicable Federal and Provincial income taxes and other statutory deductions)
Employment Type: Permanent, Full-Time
Vacation: 4% of the gross salary
RESPONSIBILITIES
- Answer and direct incoming phone calls and emails in a professional and efficient manner.
- Maintain the general company voicemail box and transfer messages to the correct staff member.
- Book appointments and meetings for team members.
- Prepare initial consultation and retainer agreements for clients.
- Perform basic data entry into IRCC and ESDC forms and gather supporting information and documents from clients.
- Communicate client correspondence received by email and follow up by phone if needed; ensure all correspondence is filed in the client’s electronic record.
- Respond to basic client inquiries by phone, email, fax, or in person.
- Sort mail, make courier arrangements, and track outgoing packages.
- Monitor and order office supplies, including stationery and beverages.
- Prepare and maintain information forms and marketing materials.
- Carry out other administrative duties as assigned.
- Adhere to and respect BIC Canada Immigration’s policies and procedures.
DESIRED SKILLS AND QUALIFICATIONS
- Recent graduates of a community college program of at least two-years. International students are welcomed to apply.
- Must have a proficiency in English language at a CLB level 9 each module.
- Proficiency in MS Outlook, MS Excel, MS Word, Adobe Reader, and internet research.
- Strong ability to multitask and manage priorities effectively.
- Excellent customer service and communication skills with a professional demeanor.
- Independent and resourceful problem-solving skills in a rapid-paced environment.
- Quick learner with a commitment to ongoing training and development.
