Overview
Join our vibrant organization as a Performing Arts Administrative Assistant! Serving as the backbone of our operations across our academy, competitive dance team, and musical productions, your energetic support will keep daily functions seamless and help bring creative productions to life. Duties
- Manage front desk operations, greeting visitors and handling inquiries with professionalism and enthusiasm
- Support directors with scheduling, operational tasks, and executive administrative needs
- Perform data entry tasks accurately in various systems, including ticketing, attendance records, and student information
- Manage day-to-day coordination for the academy, competitive dance team, and stage productions
- Manage theatre rental bookings and invoices
- Execute off-site operational errands and transport materials between studio locations and venues
- Answer phone systems promptly, practicing excellent phone etiquette to assist callers effectively
- Serve as a primary point of contact for client inquiries, studio maintenance, and event logistics
- Provide customer and team support by addressing questions from patrons, artists, and staff with a friendly and helpful attitude
Requirements
- Proven clerical experience with solid organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word,
Excel, Outlook) and Google Workspace applications
- Experience with data entry, filing, and managing multi-line phone systems in a busy office environment
- Excellent communication skills with professional phone etiquette and customer service abilities
- Familiarity with office equipment such as fax machines, printers, and scanners
- Ability to handle multiple tasks efficiently while maintaining accuracy in a fast-paced setting
- Previous administrative experience in a performing arts or medical/dental office is a plus but not required; strong office experience is essential
- Knowledge of bookkeeping software like QuickBooks or similar programs is advantageous
- Demonstrated computer skills including typing speed, proofreading, and basic troubleshooting
Qualifications
Career Orientation: Desire for long-term professional stability, growth, and team alignment.
Performing Arts Background: Strong familiarity with performance environments. Experience as a dancer or singer is highly advantageous.
Administrative Skills: High attention to detail, strong task management, and professional communication skills.
Logistical Reliability: Valid driver’s license, clean driving record, and access to a reliable personal vehicle.
Education/Experience: Background in recreation administration, arts management, or studio operations is preferred, but not mandatory.
Pay: From $20.00 per hour
