Position Summary
Vancouver Athletic FC is seeking an organized, reliable, and community-minded Adult Team Coordinator to support the administration and coordination of the Club's adult soccer teams.
This is a part-time administrative role requiring approximately 2-3 hours per week, with flexible hours. The Adult Team Coordinator will help keep VAFC adult teams organized, connected to the Club, and supported with basic administration, communication, registration follow-up, and training field scheduling coordination.
This is not a technical coaching role and does not include player evaluation, team selection, or coaching oversight.
Employment Status and Hours
- Part-time administrative position requiring approximately 2-3 hours per week on average.
- Hours are flexible and may vary slightly depending on registration deadlines, team formation, league requirements, training field scheduling, and season start-up.
- Additional hours may be requested during peak periods, subject to prior approval.
- $300 per month.
Reporting and Key Working Relationships
- Reports to the Operations Manager.
- Works closely with the Registrar, adult team contacts, coaches/managers, field schedulers, league representatives, and other Club staff as required.
Core Responsibilities
Adult Team Coordination
- Serve as the main administrative point of contact between VAFC and its adult team contacts.
- Maintain an up-to-date list of adult teams, team representatives, coaches/managers, league participation, and key program information.
- Help ensure adult teams receive relevant Club information, deadlines, and operational updates.
- Support the smooth day-to-day administration of the adult team program.
Registration and Team Administration
- Assist with adult player and team registration follow-up.
- Coordinate with the Operations Manager, Registrar, and team contacts to help ensure registration requirements are completed on time.
- Track outstanding registration items, team information, and required documentation.
- Help answer basic adult team and player inquiries or direct them to the appropriate Club contact.
Recruitment and Team Formation Support
- Support basic recruitment and intake of adult player inquiries.
- Help connect interested adult players with existing teams where appropriate.
- Assist with identifying whether there is enough interest to support recent adult teams.
- Help maintain a clear process for adult players, alumni, parents, and community members who are interested in joining VAFC adult teams.
Field and League Coordination
- Assist with adult team training field scheduling coordination.
- Liaise with the Operations Manager regarding field allocations, field changes, cancellations, and scheduling conflicts.
- Help communicate field and schedule updates to adult team contacts.
- Support communication with relevant adult leagues regarding administrative deadlines, schedules, and team information.
Communication and Record-Keeping
- Provide timely updates to adult team contacts and Club staff.
- Maintain basic records related to adult teams, contacts, registration status, schedules, and key issues.
- Support simple email communications to adult teams, including reminders, deadlines, schedule updates, and Club notices.
- Escalate significant concerns, disputes, or operational issues to the Operations Manager.
Qualifications and Requirements
- Strong organizational and communication skills.
- Experience as an adult team manager, coach, administrator, coordinator, or volunteer organizer is necessary.
- Familiarity with adult soccer, community sport, or amateur soccer leagues is necessary..
- Ability to work independently and follow up consistently.
- Comfortable communicating with adult players, team contacts, staff, and league representatives.
- Basic proficiency with email, spreadsheets, shared documents, and registration or scheduling systems.
- Knowledge of VAFC, Vancouver soccer, or local adult soccer leagues is important.
