We offer an extensive array of comprehensive engineering design and design/build services encompassing power system engineering, design-build services for utilities, joint use and telecommunication design, traffic and transportation engineering, and renewable energy systems. We have an opening for a full-time Office Administrator at our Kelowna, BC office. The successful candidate brings demonstrated computer skills, highly developed interpersonal communications skills, and is very well organized. A part-time candidate may be considered for this role.
Responsibilities:
- Provide general office support, including document preparation, filing, data entry, correspondence, supply ordering, and maintaining shared spaces.
- Process employee expenses, bills and supplier invoices.
- Prepare customer invoicing and accounts receivable processes (email,
phone).
- Maintain accurate project revenue and expense budgets, including change order values, on a timely basis in company systems.
- Assist with preparing variance reports for management and project managers when required.
- Coordinate meetings, staff activities, client functions, and company events, including venues, catering, invitations, supplies, and schedules.
- Support procurement activities including but not limited to:
- Request and organize cost quotes from internal teams and external suppliers.
- Confirm receipt of goods and services before processing supplier invoices.
- Tracking of physical and digital construction materials inventory and related financial records.
- This position will be office based with occasional visit to our warehouse/yard.
- Other duties as required.
Minimum Qualifications:
- Minimum 2 years post-secondary education.
- Minimum 1 years of business administration, project administration, estimating, or accounting experience.
- Demonstrated team player with strong interpersonal skills.
- Demonstrated high attention to detail and ability to multi-task.
- Detail driven, adaptable, excellent time management, problem solving, and planning skills.
- Proven ability to innovate and contribute to evolving processes in a changing environment.
- Proficient computer skills and an ability to learn recent applications efficiently.
- Strong English language communication skills, both written and verbal.
