The Admissions Coordinator is responsible for managing the applicant journey from initial enquiry through enrolment and the student's first day of class across KDM's Calgary and Edmonton campuses.
This is a key role in KDM's admissions model. You will build and manage the applicant pipeline, conduct admissions interviews, support applicants through the enrolment process, coordinate student funding applications, and ensure new students are ready to begin their program.
Because KDM operates a competitive-entry model without commissioned admissions advisors, this role has a robust focus on applicant conversion, cohort fill, follow-up, and student experience. The successful candidate will be comfortable building relationships with prospective students while also managing detailed administrative and financial processes.
Key Responsibilities
Admissions & Enrolment
- Serve as the primary point of contact for prospective students across both campuses.
- Respond to enquiries and guide applicants through the admissions process.
- Manage the applicant pipeline from initial enquiry through enrolment and program start.
- Conduct admissions interviews and administer entrance assessments.
- Assess applications against KDM's published admission requirements.
- Coordinate applications through to signed enrolment agreements.
- Work with the Registrar to ensure applicant and student files are complete.
- Work with the Finance Administrator to ensure financial clearance requirements are met.
- Manage applicant communications, including; enquiry follow-up, interview scheduling, admissions communications, offers, enrolment follow-up, pre-start engagement
- Maintain accurate applicant records and follow-up activities.
- Identify applicants who may be at risk of dropping out of the admissions process and proactively follow up.
- Provide weekly reporting on pipeline activity, conversion, enrolment, and cohort fill.
- Support achievement of established admissions and cohort targets.
- Coordinate cohort start logistics and student orientation.
Student Financial Planning
- Conduct the initial financial interview with each starting student.
- Prepare the student's financial plan and budget worksheet.
- Prepare, submit, and track student loan applications and supporting documentation.
- Complete required appendices, schedules, and program information forms.
- Complete MSFAA and student loan disbursement agreements with students.
- Monitor funding applications through approval and disbursement.
- Identify funding gaps or shortfalls before program commencement.
- Prepare proposed payment plans where students have a funding shortfall.
- Submit proposed payment plans to the Finance Administrator for approval before they are presented to the student as finalized.
- Maintain accurate financial planning documentation on the student file.
- Follow the financial planning standards established by the Finance Administrator.
Financial Escalation & Student Referrals
- Refer funding appeals, denials, reassessments, significant shortfalls, and unusual funding situations to the Finance Administrator.
- Refer all student drops, withdrawals, and departures to the Finance Administrator for financial processing and final settlement.
- Refer formal student complaints and disputes to the Registrar in accordance with KDM's dispute resolution process.
- Maintain appropriate confidentiality and documentation when handling sensitive student matters.
Campus Administration
In addition to admissions, the position provides general administrative support for KDM's campus operations.
- Coordinate front-of-house and general campus administration.
- Liaise with suppliers and facilities service providers as required.
- Maintain admissions records and applicant-facing materials.
- Maintain current admissions and marketing collateral.
- Support campus events, open houses, information sessions, and orientation activities.
- Assist with general office administration and campus coordination.
- Support practicum host-site sourcing and scheduling logistics under the direction of the Registrar.
- Assist with cohort start activities and ensure students receive the information they need before their first day.

- Professional when handling confidential personal and financial information.
- Comfortable identifying issues and escalating them to the appropriate person.
Qualifications & Experience
- Post-secondary education in business administration, office administration, education, marketing, or a related field is preferred.
- Experience in admissions, student services, customer service, education administration, or a similar role.
- Experience managing a client, customer, applicant, or student pipeline is an asset.
- Experience working toward conversion, enrolment, or other measurable targets is an asset.
- Experience with student funding or Alberta Student Aid processes is an asset.
- Experience in post-secondary or private vocational education is an asset.
- Strong proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
- Experience with CRM, admissions, student information, or database systems is an asset.
