About Us

Busy, multi-physician ophthalmology and dermatology Centre providing both surgical and medical care. We operate in a fast-paced environment with high patient volumes and extended wait times, and we take pride in delivering a professional, organized, and compassionate patient experience.

We are looking for an experienced Medical Front Desk / Administrative Assistant to support a busy ophthalmology and dermatology specialist centre.

What Success Looks Like

This position involves interaction with a wide range of patients — from young children to seniors — many of whom are anxious, frustrated, or experiencing vision- or skin-related concerns.

For this reason, we require someone who is:

- Calm, cool, and collected under pressure
- Able to manage high-stress and high-volume environments without becoming flustered
- Comfortable navigating long wait times and supporting patients through them
- Skilled in de-escalation, maintaining professionalism when patients are upset
- Able to balance empathy with clear boundaries
- Naturally kind, patient, and tactful in emotionally charged situations
- Able to think critically and respond appropriately when problems arise

This is essential for success in the role. This is a fast-paced specialist centre role.



Candidates without prior medical office experience or comfort in high-volume environments will not be successful in this position.

Position Overview

As the first point of contact for patients, you will ensure a welcoming and efficient experience from check-in to check-out. You will coordinate appointments, assist with documentation, and help maintain smooth patient flow throughout the clinic.

Patient Reception & Communication

- Greet patients warmly and professionally
- Navigate patient emotions with tact, patience, and empathy, especially during busy periods
- Support patient flow and provide updates as needed

Scheduling & Coordination

- Book appointments, diagnostics, referrals, and follow-ups
- Communicate with external medical offices and hospitals
- Managecomplex physician schedules accurately

Administrative Duties

- Enter and maintain patient data in Accuro EMR (preferred but not required)
- Process payments, invoices, and receipts
- Prepare charts, scan/upload documents, and support dermatology & ophthalmology workflows
- Maintain confidentiality and accuracy at all times

Required Qualifications

- Minimum 2 years of medical office or specialist centre experience
- Ability to remain calm, composed, and solution-oriented under pressure
- Strong critical-thinking and problem-solving abilities
- Excellent communication and customer-service skills
- High attention to detail and accuracy
- Comfort working in a fast-paced, high-volume centre




- Team Player
- Ability to collaborate with others

Strongly Preferred

- Experience in ophthalmology and/or dermatology
- Experience with Accuro EMR
- Understanding of referral workflows and medical terminology
- Experience supporting multiple physicians with varying schedules and workflow

Schedule

- Full-time (open to consider part-time & casual) - permanent
- Monday to Friday (occasional Saturdays)
- 40 hours per week
- On-site only

Compensation & Benefits

- $20.00–$26.00 per hour, depending on experience
