Are you an experienced Registered Early Childhood Educator who enjoys balancing classroom support with administration, organization, and mentoring? We are seeking a dedicated Program Coordinator to join our leadership support team.
This is a agile role that combines administrative responsibilities, operational support, mentorship, and hands-on classroom involvement. Working closely with the Executive Director and Assistant Director, you will help ensure the smooth day-to-day operation of our centre while supporting our educators, children, and families.
What You'll Do
Administrative Support
- Maintain accurate records, filing systems, and documentation to ensure compliance with licensing requirements and organizational policies.
- Assist with attendance tracking, reporting, scheduling, payroll support, vacation tracking, and staff absences.
- Order and maintain office, classroom, cleaning, and program supplies.
- Provide administrative support to the Executive Director and Assistant Director.
- Coordinate meetings, prepare agendas, and record meeting minutes.
- Assist with onboarding new employees and preparing orientation materials.
Operations Support
- Provide classroom support and backfill for Registered Early Childhood Educators when required.
- Assist with meal and snack preparation, setup, and cleanup while following dietary and sanitation requirements.
- Support daily centre operations by maintaining clean, organized, and welcoming classrooms and common areas.
- Complete laundry and linen care as needed.
- Conduct routine health and safety inspections, maintain sanitation standards, and replenish supplies.
- Provide occasional support within the kitchen as required.
Program Support & Mentorship
- Mentor and support Registered Early Childhood Educators and placement students.
- Provide guidance on best practices in early learning and child development.
- Support developmental observations and documentation.
- Assist with staff learning and professional development initiatives.
Communications
- Develop and distribute the monthly parent/guardian newsletter.
- Prepare centre communications including family notices, updates, and closure notifications.
- Communicate professionally with families, community partners, and regulatory agencies as required.
What We're Looking For
Required Qualifications
- Registered Early Childhood Educator (RECE) in good standing with the College of Early Childhood Educators.
- Diploma in Early Childhood Education.
- Valid Standard First Aid & CPR Certification.
- Valid Vulnerable Sector Check.
- Valid Food Handler Certificate.
Preferred Qualifications
- Diploma or education in Business Administration or a related field.
- Experience working in a licensed child care centre.
- Administrative experience, preferably in child care or education.
- Experience mentoring staff or students.
- Experience with payroll support, scheduling, or administrative software.
- Food preparation experience is considered an asset.
Skills & Abilities
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and commitment to confidentiality.
- Working knowledge of the Ontario Child Care and Early Years Act, 2014, licensing requirements, and health and safety practices.
- Proficiency with Microsoft Office, iPads, and child care documentation software.
- A collaborative, positive, and team-oriented approach.
