We are seeking an Administrative Assistant to join our Administrative Team. Working in a fast-paced environment, our administrators collaborate closely with one another and with professional staff to support the day-to-day operations of the firm and contribute to a positive client experience.
Position Overview The Administrative Assistant plays a key role in supporting the firm's tax and accounting services through tax return administration and workflow management. Serving as a central point of contact among clients, team members, regulatory authorities, and other stakeholders, this position helps ensure administrative requirements are completed efficiently, deadlines are met, and a high standard of client service is maintained. The successful candidate brings strong organizational skills, attention to detail, initiative, and a proactive approach to problem solving.
This position reports to the Operations & HR Manager.
Key Responsibilities
· Assemble, coordinate, and process the completion and filing of personal, corporate, trust, and partnership tax returns, ensuring filing deadlines are met.
· Obtain client signatures, authorizations, and supporting documentation, and liaise with tax authorities and other regulatory agencies as required.
· Coordinate and oversee the administrative processes for trust and estate engagements, including client onboarding, information gathering, workflow management, and interactions with clients, regulatory authorities, and internal stakeholders.
· Manage client communications and maintain accurate client records, electronic files,
and document management systems.
· Facilitate communication and coordination between administrative staff, accountants, partners, clients, and external stakeholders, responding to inquiries and requests in a skilled and timely manner.
· Coordinate appointments, meetings, and document requests.
· Prepare invoices and support billing and collection activities.
· Support partners, managers, and professional staff through administrative, reception, and general office support activities as required.
· Support employee onboarding and offboarding activities.
· Develop, maintain, and update administrative procedures, process documentation, and best practices.
· Proactively identify opportunities and contribute to initiatives that standardize processes, enhance consistency, improve client service, and drive operational efficiency.
Qualifications
Education & Experience
· Postsecondary education in Business Administration, Office Administration, Accounting, or a related field is preferred, along with 3+ years of administrative experience, preferably in a professional services or accounting environment; an equivalent combination of education, training, and experience will also be considered.
· Experience supporting tax preparation, trust and estate administration, or similar administrative processes is considered an asset.

· Exceptional attention to detail and accuracy.
· Resourceful, proactive, and self-motivated, with the ability to work independently, take ownership of responsibilities, and follow matters through to resolution.
· Strong written, verbal, and interpersonal communication skills, with a client-service orientation.
· Proficiency with Microsoft Office applications, particularly Outlook, Excel, Word, and Teams, with the ability to quickly learn and adapt to new software, technologies, and digital workflows.
· Ability to handle confidential information with professionalism and discretion.
· Collaborative team player with a willingness to share knowledge, support colleagues, adapt to changing priorities, and contribute to team and firm objectives.
Job Details
This role is based out of our downtown office. The standard hours of operation are Monday-Friday 8:30 am to 5:00 pm. Overtime is expected during peak business periods, including March-April.
We offer a competitive salary ranging from $54,600 to $56,550 per year, based on experience and qualifications. Employees receive three weeks of paid vacation, paid overtime, and access to a comprehensive health and dental benefits program with costs shared equally between the employee and the firm. Employees are also eligible to participate in the firm's RRSP matching program after three years of service.
