About Us
We are a busy and patient-focused medical clinic committed to providing high-quality healthcare services in a professional and compassionate environment. We are currently seeking a reliable and organized Assistant Manager to join our team.
Position Overview The Assistant Manager oversees daily clinic operations, supervises administrative and clinical support staff, and ensures smooth patient flow. Working directly with the Director of Clinical Operations and Medical Director, this role manages day-to-day HR administration, facility maintenance, operational reporting, and workflow efficiency.
Key Responsibilities
Team Leadership & HR Administration
- Supervise, schedule, and support staff to maintain optimal daily workflow and patient care standards.
- Handle recruitment, onboarding, performance tracking, attendance management, and policy compliance.
- Resolve workplace issues and foster a professional, collaborative environment.
Operations & Facility Management
- Manage day-to-day facility needs, including maintenance, repairs, security, and safety compliance.
- Monitor supply inventory, manage vendor relationships, and oversee vendor contracts.
- Ensure clinic operations meet healthcare regulatory and safety standards.
Reporting & Administration
- Prepare operational, HR, and performance reports for executive leadership.
- Analyze clinic data to identify workflow bottlenecks and implement operational improvements.
- Maintain organized filing systems,
digital documentation, and operational workflows using M365 tools (SharePoint, Excel, Word).
Qualifications
- Preferred: Bachelor's degree or diploma in Business Administration, Healthcare Administration, Human Resources, Management, or a related field
- 3–5 years of progressively responsible supervisory or administrative experience.
- Experience supporting healthcare, clinical, or qualified office environments is considered an asset.
- Demonstrated experience in staff management, HR administration, facilities coordination, and reporting.

- Advanced proficiency in M365 (Sharepoint, Excel, Word, Teams)
- Strong analytical, reporting, and problem-solving skills.

- High attention to detail, professionalism, and confidentiality.
