Position Overview The Associate Administrator is the operational hub of our office, helping ensure that customers receive outstanding service while supporting the smooth flow of information between Sales, Purchasing, Warehouse, Accounting, Vendors, and Management. This position requires someone who enjoys staying organized, communicating with people, solving problems,



and continually improving the way work gets done.

The successful candidate will take ownership of assigned responsibilities, contribute ideas for process improvements, and become a trusted resource within the organization.

Key Responsibilities

Customer Service

· Deliver professional customer service by phone and email.

- Respond promptly to customer inquiries.
- Support customers throughout the quotation, ordering, and delivery process.
- Follow up to ensure customer satisfaction.

Sales Administration · Prepare quotations, sales orders, purchase orders, and customer documentation.

- Coordinate order processing with internal departments.
- Maintain accurate customer records.
- Assist with customer follow-up and sales support activities.

Operations Coordination · Coordinate communication between Sales, Purchasing, Warehouse, Accounting, and Management.

- Track order progress and identify potential delays.
- Help improve workflow and administrative efficiency.
- Support company projects and operational initiatives.

Purchasing & Vendor Support · Assist with supplier communications.

- Monitor purchase orders and delivery schedules.
- Maintain supplier files and pricing information.
- Support inventory administration.

Office Administration · Maintain organized digital and paper filing systems.

- Prepare reports and correspondence.
- Support executive administration and special projects.
- Protect confidential company information.





Qualifications We're looking for someone who brings:

· 5 years of experience in administration, customer service, or business operations.

- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- High attention to detail and accuracy.
- Proficiency with Microsoft Outlook, Word, and Excel.
- Experience with Sage 300 or similar ERP software is an asset.
- A positive attitude, initiative, and a desire to learn.
