Intake Coordinator (Claims Examiner)

Location: Winnipeg, MB

Job Type: Full-Time, Contract

Contract Duration: Until March 31, 2027, with potential for permanent conversion

Pay Rate: $20.55–$22.24 per hour

Work Arrangement: Hybrid following completion of in-office training

Anticipated Start Date: Approximately 3–4 weeks after offer

About the Role

We are seeking an organized and customer-focused Intake Coordinator (Claims Examiner) to join our team in Winnipeg. In this role, you will support the claims process by communicating with Plan Sponsors and Plan Members, reviewing claim documentation, confirming eligibility requirements, and ensuring claims are accurately set up and processed.

The successful candidate will have strong customer service and communication skills, excellent attention to detail, and the ability to review and interpret documentation while managing multiple priorities.

This position requires full time, in-office attendance during the initial training period, expected to last approximately 1–2 months . Once training is successfully completed, the position will transition to a hybrid work arrangement with two days per week in the office .

Key Responsibilities

- Review claim documentation, system information, and contracts to confirm that eligibility requirements are met.
- Conduct outreach calls to Plan Sponsors and Plan Members within 24 hours of receiving initial claim information.
- Communicate with Plan Sponsors and Plan Members by phone and email to clarify discrepancies and obtain missing or incomplete information.
- Follow up to ensure required claim forms and supporting documentation are fully and accurately completed.
- Respond to questions regarding the claims process and provide a high level of client service.
- Prepare and issue declination letters to Plan Sponsors and Plan Members when applicable.
- Adjudicate and manage claims that are expected to be of limited duration, including Quick Pay claims.




- Transfer claims that do not meet Quick Pay eligibility requirements to the appropriate Disability Case Manager for adjudication and ongoing management and to the appropriate team for benefit calculations.
- Accurately set up claims in the system in accordance with applicable contracts and group-specific requirements.
- File and maintain claim documentation accurately and appropriately.
- Maintain confidentiality and accuracy when handling sensitive client and claim information.

Qualifications
- Minimum of one year of experience in a customer service environment .
- Excellent verbal and written communication skills.
- Strong customer service skills with professional phone and email etiquette.
- Ability to understand complex instructions and basic contractual language.
- Knowledge of basic medical terminology.
- Strong typing and data-entry skills.
- Proficiency with Microsoft Office applications.
- Strong analytical skills and attention to detail.
- Effective organizational and time-management skills, with the ability to manage multiple priorities.
- Ability to work both independently and collaboratively in a team environment.
- Previous experience within disability insurance or claims administration is considered an asset.
- Fluency in both French and English is considered an asset.

Additional Requirements
- Candidates must be located in or able to commute to Winnipeg, Manitoba .
- Must be available to work full-time in the office during the initial 1–2 month training period.
- Following training, candidates must be able to work in the office two days per week as part of the hybrid arrangement.
- Protected B security clearance is required.
