About the Opportunity
Stafingo is currently seeking a Data Input Clerk / Administrative Support professional for a client in Halifax, Nova Scotia.
This is an excellent opportunity for a detail-oriented administrative professional who enjoys working with data, records, documentation, and routine administrative processes. The successful candidate will support a large-scale data-entry and document-processing initiative associated with the implementation of a new online database system.
The role will involve entering and validating client information that was not transferred during a previous system migration, as well as supporting the preparation and reissuance of professional certification documents.
The ideal candidate will be highly organized, accurate, dependable, comfortable working with computer systems, and able to follow established procedures while exercising sound judgment when handling administrative requests.
Key Responsibilities :
Data Entry & Records Management
- Enter client and certification information accurately into an online database system.
- Review source documentation and transfer information from legacy records into the new system.
- Validate entered information for completeness, consistency, and accuracy.
- Identify missing, inconsistent, or potentially incorrect information and escalate issues when required.
- Maintain accurate electronic and paper records in accordance with established procedures.
- Perform data verification and quality-control activities to minimize errors.
- Process a high volume of records while maintaining strong attention to detail and productivity.
- Update client records as required and ensure information is properly documented.
Certificate & Document Processing
- Support the preparation and reissuance of professional certificates and identification cards.
- Review existing certification records and identify documents requiring updates.
- Process documentation according to established policies, procedures, and regulatory requirements.
- Ensure certificates and identification documents contain accurate information.
- Maintain appropriate records of documents processed and issued.
- Assist with document tracking, filing, scanning, and electronic record management.
Administrative Support
- Prepare, organize, and file correspondence, forms, reports, and other administrative documents.
- Respond to routine inquiries by telephone, email, or in person.
- Direct more complex inquiries to the appropriate individual or department.
- Assist with general office administration and records management.
- Maintain organized electronic and physical filing systems.
- Prepare routine reports, spreadsheets, lists, and administrative summaries.
- Assist with photocopying, scanning, printing, document preparation, and distribution.
- Distribute internal/inter-office correspondence and documentation as required.
- Maintain office supply inventories and assist with ordering or replenishment.
- Support petty cash and basic administrative financial activities where required.
- Assist with expense claims and related administrative documentation.
- Perform other administrative and clerical duties as assigned.
Required Qualifications :
- Grade 11 education or equivalent combination of education, training, and experience.
- Approximately two years of related administrative, clerical, data-entry, records-management, or office experience , or an equivalent combination of training and experience.
- Robust computer literacy and ability to learn and navigate online database systems.
- Excellent data-entry accuracy and attention to detail.
- Strong organizational and time-management skills.
- Ability to follow established policies, procedures, acts, rules, and regulations.
- Ability to exercise sound judgment when determining the appropriate method for completing routine assignments.
- Strong written and verbal communication skills.
- Qualified and courteous customer-service skills.
- Ability to handle confidential and sensitive information appropriately.
- Ability to work independently under general supervision as well as collaboratively within a team.
- Strong ability to prioritize and manage multiple administrative tasks.
Preferred Qualifications : The following would be considered assets:
- Previous experience with high-volume data entry.
- Experience working with databases, records-management systems, or online information systems.
- Experience with data migration, data cleansing, or data validation.
- Experience processing certificates, licenses, registrations, identification documents, or other regulated records.
- Previous government, regulatory, professional association, or public-sector experience.
- Experience working with Microsoft Office, particularly Excel, Word, Outlook, and Teams .
- Experience handling confidential client or regulatory information.
- Previous experience in a customer-facing administrative environment.
