ABOUT THE POSITION We are currently looking for one (1) Coordinator, Completions for a permanent full-time role.

The Completions

Coordinator provides in-depth one-on-one support to apprentices and trade qualifiers experiencing barriers to completion. The role also supports the Customer Experience department with administrative support for targeted initiatives that directly increase the rate of trade person completions. Reporting to the Manager of Completions, this role will help ensure SkilledTradesBC identifies and finds solutions to reduce barriers for obtaining trade certification.

This role requires a strong understanding of SkilledTradesBC policies and procedures, customer support processes, and strong interpersonal skills.

This role works closely with the Manager and Team Lead, Completions, Apprenticeship Advisor , Assessments, Program Standards, Equity and Engagement and Customer Service teams in supporting daily work of the Completions department. This position does not have direct reports. RESPONSIBILITIES/ACCOUNTABILITIES Administrative Support: Assists in creating and maintaining documentation including preparing, monitoring, and updating reports and support completion meetings.

Monitors completion activities; works closely with Apprenticeship Advisor Coordinator, and Apprenticeship Advisors to provide guidance and direction for initiatives.

Provides support to the Manager and Team Lead, Completions as needed.

Schedules meetings, reviews individual files, and research programs for Trade Workers, as needed

Prepares and supports meetings with managers, as well as prepares and supports follow-up activities.

Takes and distributes meeting minutes, prepares reports and resource materials, and liaises with other departments as required.

Maintain confidentiality and ensure compliance with organizational and team policies and processes.

Stakeholder

Support, Engagement, And Case Management: Schedules and conducts in-depth interviews with trade workers to build relationships, assess accommodation needs, and provide relevant approvals for programs, support, and accommodated exams.

Schedules and conducts in-depth interviews to identify knowledge, skill, and learning gaps for trade workers, and provides learning plans to address them for both Apprentices and Trade Qualifiers coming through the Certification Review.





Engages with internal and external stakeholders to problem solve and coordinate upgrading and support options for trade workers.

Supports Learning Strategists to review files, track referrals and monitor the status of trade worker progress, requests, etc. Provides in depth one-on-one support for difficult cases referred to Completions by other departments.

Provides active and ongoing case management, including maintaining case files, notes, exam scheduling and advising individuals with complex needs or barriers to completion.

Advocates for external stakeholder interests to internal departments.

Collaborates with internal stakeholders to identify emerging needs, gaps and opportunities that support trade workers who are experiencing barriers to completion and progression.

Initiative

Implementation, Management, and Support: Supports, Engages, and Coordinates with Internal and External Stakeholders to Operationalize initiatives, projects, and supports. Serves as point of contact for supporting cases that come through the Completions email. Research develops and recommends innovative solutions and business process improvements to address completion barriers and improve apprentice outcomes.

Develops and guides individuals with solutions to assist with their completion pathway.

Identifies, develops, and supports initiatives and projects that improve apprentice progression and certification completion, this includes projects to engage non-completers.

Liaises with internal stakeholders to create and update upgrading options for individuals, coordinates with External Relations on updates to the website.

Develops and maintains project resources, communication materials and operational supports required to successfully implement new initiatives, programs, and services.

Update individual and case notes in Customer Relation Management System.

Develops and supports outreach projects to communicate program changes to stakeholders.

Provides details, guidance,



and support for SkilledTradesBC outreach projects.

Provides on the ground organizational/implementation support for VLS4 in BC, supporting Learning Strategists.

Operationalizes new projects, initiatives, or supports for the organization for continuous improvement and service delivery enhancement

Crafts and disseminates reports on project progress, outcomes, and learnings.

Troubleshoots issues, identifies root causes, and coordinates with stakeholders to resolve operational challenges impacting apprentice progression, completion, or service delivery. EDUCATION/EXPERIENCE High School diploma or equivalent is required. Post-secondary degree in Business Administration or Inclusive Education is preferred; combination of education and/or sufficient experience is necessary to perform all aspects of the position successfully

1+ years of experience in a customer service workplace

Experience working with CRM or similar in-house customer service tracking system is an asset Demonstrated ability to develop and maintain professional relationships with colleagues and external partners.

Ability to de-escalate emotionally charged situations

Ability to research, analyze data for errors and summarize information for reports. Well-developed analytical skills are required including ability to analyze data input from external sources

Ability to produce statistical information in an effective manner

Intermediate experience with MS Office programs Assets: Knowledge regarding learning challenges, barriers, and disabilities

Advising/Coaching skills or experience

Case management experience

Experience with developing, implementing, and managing projects

Understanding of SkilledTradesBC policies and procedures and customer support processes COMPENSATION Salary Band C: $67,057 - $90,725
