The Opportunity We are excited to share an opportunity for a Legal Operations Specialist to join our small Legal team in midtown Toronto (hybrid). This role plays an important part in supporting corporate legal operations across corporate law, contracting, litigation support, licensing, insurance, compliance and process improvement initiatives. Reporting to the Vice President, Legal & General Counsel, you will help ensure the efficient operation of the Legal function by supporting contract management processes, responding to legal inquiries, supporting licensing and regulatory filings, and contributing to technology and process improvement initiatives.

Working closely with stakeholders across Legal, Client Services, Sales, Operations, Finance, Compliance, Technology and the Executive Team, you'll help drive operational excellence while supporting the day-to-day needs of the business. This role is ideal for someone who enjoys solving problems, improving processes, leveraging technology, and working collaboratively across a variety of business functions. Support contract management activities, including maintaining signed contract repositories and updating contract templates in collaboration with Legal and Client Services teams.

Upload, maintain, and troubleshoot contract templates and agreements across Procom technology platforms. Assist with the review and negotiation of requests for modifications to standard agreements under the supervision of legal counsel. Review executed client agreements and assist with contract compliance initiatives, including the preparation of flow-down terms for contractors and subvendors.

Support

Sales and other internal stakeholders with legal-related inquiries associated with Requests for Proposal (RFPs). Coordinate and project manage Procom's annual corporate insurance renewal process.





Administrative Duties

Monitor and triage internal legal requests submitted through Procom's intake processes. Respond to internal requests for contract templates, legal documents, and related resources. Working with Procom’s Compliance group, support licensing and regulatory activities, including filings, renewals, and applicable provincial and municipal licenses.

Assist with annual corporate maintenance activities and registrations for Procom's group of companies, liaising with Procom leadership and external counsel as required. Support the tracking and administration of litigation matters and claim resolution activities. Assist with eDiscovery processes, including document collection, organization, and production for litigation matters.

Support settlement administration and other legal department processes. Provide administrative support for key legal, licensing, compliance, and corporate governance activities.

Performance

Improvement, Legal Technology & Special Projects Support continuous improvement initiatives across the Legal department by identifying opportunities to streamline processes and enhance efficiency. Assist in the maintenance and optimization of legal technology platforms, including SharePoint sites, contract repositories, and internally developed legal tools. Partner with Operations, Technology,



and business stakeholders to identify and resolve process or communication gaps impacting contract administration.

Support the implementation and adoption of new technologies, including AI-enabled tools and workflows. Participate in department and cross-functional special projects as required. A strong interest in legal operations, contracting, corporate law and business process improvement.

Excellent organizational skills and attention to detail, with the ability to manage multiple competing priorities . A proactive, customer-service mindset and a willingness to learn and take initiative. Ability to manage ambiguity and apply a growth mindset.

Strong technical aptitude and confidence using technology, including Microsoft Office applications, Excel, and AI-enabled tools. Demonstrated resourcefulness and a commitment to delivering high-quality work. Minimum 2 years of experience within a corporate, government, legal, or related skilled environment. ~ Experience or familiarity with legal, contracting, corporate law, regulatory, contracting, or corporate governance matters is preferred. ~ Experience working within a medium or large organization is considered an asset. ~ Proficiency with Microsoft Office applications, including Excel and SharePoint. ~ 1-2 days per week in the office (hybrid) Experience working within a medium or large organization is considered an asset.

Experience working with document management systems, contract repositories, SharePoint, or similar platforms is an asset.

Intermediate
