Position Summary
We are seeking an experienced Document Control and Proposal Coordinator to support the full lifecycle delivery of EPC projects and contribute to the overall efficiency of our operations.
Reporting to the Sr. VP Engineering, the successful candidate will manage the document control function across engineering, procurement, construction, and commissioning phases. This role ensures the accurate receipt, registration, tracking, distribution, revision control, and archival of all project documentation in accordance with company, client, and regulatory standards.
The Document Control
Coordinator will work closely with project managers, discipline leads, contractors, vendors, and clients to maintain information integrity and support timely project execution in a dynamic oil and gas workplace.
Responsibilities
- Assist management team on operational procedures and directives and implement changes/new initiatives.
- Coordinate proposal projects including identifying documents to be submitted, assist or prepare documents to be submitted, document quality control, and submission as required.
- Prepare marketing material, presentations, reports, meeting notes as required.
- Monitor initiative deadlines, provide progress updates, and track action items.
- Manage the document control function and ensure compliance with company, project, and client standards and procedures.
- General support for project controls team for project work, as required.
- Setup and manage systems to record, track, and distribute internal and external project documentation, including engineering drawings, specifications, vendor data, construction packages, and correspondence.
- Set up, configure, and maintain project document control environments and electronic document management systems.
- Maintain structured document numbering, metadata, workflows, revision control.
- Ensure quality checks on incoming and outgoing documentation for accuracy, completeness, naming conventions, and compliance with project and company standards.
- Respond to internal and external document-related queries and provide guidance on document control processes and standards.
- Ensure document traceability and retention requirements are met, and support continuous improvement of document control procedures.
- Provide training and support to operations and project team members on document control tools and processes as needed.
Qualifications
Required
- 4–8+ years of progressive document control experience in an engineering, EPC/EPCM, or construction environment, preferably within the Canadian oil and gas industry and Western Canada.
- Proven experience managing document control for multi-discipline projects, including engineering drawings, vendor documentation, and construction packages.
- Proven experience in proposal coordination, preparation and submission.
- Strong proficiency with electronic document management systems (e.g., SharePoint, Bluebeam, or similar platforms).
- Solid understanding of document workflows, transmittals, revision control, numbering conventions,
and industry documentation standards.
- Excellent attention to detail, organizational skills, and ability to manage multiple priorities under tight deadlines.
- Strong communication and interpersonal skills with the ability to work effectively with cross-functional teams and external stakeholders.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Preferred
- Experience with client-specific document control requirements (e.g., major producers and midstream operators in Alberta).
- Experience mentoring or training document control or project document control staff.
- Interest in supporting business development activities as required.

Technical Skills

- Understanding of engineering drawings, specifications, and construction documentation practices specific to Western Canadian energy projects.
