Orleans Medical Centre is seeking a highly organized, professional, and motivated Executive Administrative Assistant to join our healthcare team.

This is an excellent opportunity for an experienced administrative professional who enjoys working in a fast-paced medical environment and is looking for a position with meaningful responsibility, variety, and opportunities for skilled growth.

The Executive Administrative Assistant will work closely with the Office Manager and Clinic Manager, providing high-level administrative and organizational support while serving as an important liaison between clinic leadership, physicians, staff, and external contacts.

About the Role The successful candidate will be a highly dependable and detail-oriented individual who can manage multiple priorities, exercise sound judgment, maintain strict confidentiality, and work independently with minimal supervision.

This position combines executive administration, clinic operations, staff coordination, meeting support, financial administration, and occasional front-office responsibilities.

Key Responsibilities

- Manage and coordinate the Clinic Manager's calendar, appointments, meetings, and administrative commitments.
- Act as a professional liaison between the Clinic Manager, physicians, healthcare providers, and clinic staff.
- Assist with day-to-day administrative and operational activities of the medical centre.
- Assist with identifying and coordinating staffing requirements and coverage.
- Assist with payroll verification and ensure payroll information is accurate and complete.
- Maintain and review expense records and assist with ensuring the accuracy of expense accounts.
- Prepare, coordinate, and organize meetings, including:
- Gathering and coordinating agenda items
- Preparing meeting materials
- Taking accurate meeting minutes
- Tracking action items
- Following up on outstanding tasks and decisions
- Prepare correspondence, reports, documents, spreadsheets, and other administrative materials.
- Maintain organized electronic and physical records and documentation.
- Handle confidential information with professionalism, discretion,



and strict attention to privacy.
- Assist with workplace technology and troubleshoot minor computer or administrative technology issues when required.
- Support process improvements and the effective use of technology to improve workplace productivity.
- Provide reception and administrative/billing support at the clinic when operationally required.
- Assist with other administrative projects and responsibilities as assigned by clinic management.

- Ability to learn new programs, systems, processes, and technology quickly
- Interest in workplace technology and ability to troubleshoot minor technical issues
- Robust proficiency with Microsoft Office, particularly Word, Outlook, and Excel
- Minimum typing speed of approximately 40 words per minute
- A professional and positive approach to teamwork
- Experience with electronic medical records PS Suite and OHIP billing an asset
- Knowledge of accounting and QuickBooks, HST, WSIB, payroll submission an asset




- Genuine interest in contributing to the growth and improvement of the medical centre
- A desire for a long-term position and career development

Bilingual English/French is considered an asset.

Healthcare Experience

Previous experience in a medical clinic, healthcare, professional office, or other highly confidential administrative environment is an asset.

Experience with medical office systems, electronic medical records, OHIP billing, or medical reception is also an asset, although training will be provided where appropriate.
