OBJECTIVES & RESPONSIBILITIES What you’re responsible for delivering:
Financial Administration
- Send client invoices and track receivables
- Pay supplier and trade invoices
- Maintain accurate job costing and track budgets
- Prepare monthly summaries and assist with year-end financials
Owner Support & Communication Management
- Manage the owner’s inbox and calendar
- Coordinate meetings, schedule priorities, and keep things moving
- Act as a gatekeeper for incoming communication and requests
HR Administration
- Post job ads,
coordinate interviews, and onboard new team members
- Maintain vacation tracking, payroll records, and HR documentation
- Liaise with our payroll provider to ensure smooth operations
Marketing & Sales Support
- Schedule and coordinate social media posts
- Keep the website up-to-date with current project photos
- Assist with proposal formatting, document prep, and lead tracking
General Admin & Office Operations
- Maintain records for licenses, warranties, and insurance
- Order and track office and project supplies
- Keep vendor accounts up-to-date (phones, software, etc.)
- Support project managers with administrative tasks and project software updates
