As a Feasibility Associate, you will support site selection optimization for industry-sponsored clinical research studies across Probity-affiliated sites. You will manage recent study opportunities throughout the feasibility stage, working closely with both internal and external stakeholders to gather and assess study information, identify and recommend appropriate Probity-affiliated sites, and coordinate the accurate and timely completion and submission of site feasibility questionnaires.
Once studies are awarded, you will facilitate a smooth transition of selected studies and sites to the Probity Study Department, ensuring relevant information is communicated effectively and opportunities progress efficiently into study start-up. You will collaborate closely with internal teams to ensure that the Feasibility Team provides high-quality, timely support that contributes to the successful advancement of clinical trials at Probity-affiliated sites.

Job Responsibilities
Questionnaires and Documentation
- Coordinate the rapid and thorough completion and submission of initial interest questionnaires, feasibility questionnaires,
and pre-study documents.
Site Recommendations
- Using tools provided, generate site recommendation lists to best match Probity-affiliated sites with appropriate studies.
- Promote Probity-affiliated sites to Sponsors and CROs providing rationale for why they would be a good addition to the study.
Online Platform and Database Management
- Regularly review and update shared team tools and databases, including Probity’s online platform (Portico).
- Work within multiple external Sponsor/CRO portals.
Task Coordination
- Maintain task category within the Feasibility Team shared Outlook inbox.
- Update individual and team coverage trackers as needed.
External Communication
- Identify, contact and engage key individuals at Sponsors and CROs, logging contacts and outcomes.
- Provide exceptional support during the feasibility stage for Probity-affiliated clinical research sites.
- Strengthen and expand existing relationships with Sponsors, CROs and site representatives.
Internal Communication
- Attend and contribute to internal meetings.
- Collaborate closely with other team members, Team Lead, and other Probity teams/departments to ensure seamless engagement and handoff.
Other duties and ad hoc assignments as required.

- Excellent written and verbal communication skills, with the ability to communicate professionally and effectively with Sponsors, CROs, site representatives, and internal stakeholders.
- Strong organizational and prioritization skills, with the ability to manage multiple study opportunities, deadlines, and competing requests simultaneously.
- Strong time management skills and the ability to work efficiently in a fast-paced, deadline-driven environment.
- Proficiency with Microsoft Office, particularly Outlook, Excel, Word, and Teams, with the ability to quickly learn and navigate online platforms and databases.
- Strong relationship-building and interpersonal skills, with the ability to establish and maintain positive relationships with internal and external stakeholders.
- Strong analytical and problem-solving skills, with the ability to assess study requirements, identify appropriate sites, and address challenges effectively.
- Sound judgment and decision-making skills, particularly when evaluating study opportunities and recommending appropriate Probity-affiliated sites.

Qualifications & Requirements
- Post-secondary education in a relevant field, such as Life Sciences, Health Sciences, Clinical Research, Regulatory Affairs, or Clinical Trial Management. A four-year degree or college diploma is preferred.
- 1–2 years of relevant skilled experience, preferably in clinical research, clinical trial management, feasibility, site management, regulatory affairs, or a related field.
- Strong analytical and critical-thinking skills, with the ability to review study information, assess requirements, identify suitable sites, and make sound recommendations.
- Highly organized and detail-oriented, with the ability to manage multiple concurrent study opportunities, documentation requirements, and deadlines.
- Self-motivated and proactive, with the ability to take initiative, work independently, and complete assignments with minimal supervision.
- Demonstrated ability to follow through, manage competing priorities, and complete overlapping projects within established timelines.
- Comfortable with administrative and computer-based work, including reviewing and managing information across multiple documentation systems, databases, online platforms, and resources.
- Strong Microsoft Office skills, particularly in Word, Excel, Outlook, and Teams; experience with PowerPoint and PDF editing software is an asset.
- Skilled and effective communicator, with the ability to interact confidently with internal and external stakeholders.
