Position Overview
Title: Finance and Administration Coordinator
Reports to:Executive Director
Classification: Salary, full-time, fixed term
Contract Details: September to March 31, 2026; possibility of extension
Compensation: $56, 000 per annum, health and dental, 5% RRSP match, personal leave (prorated) and 4 weeks vacation (prorated)
Hours: 37.5 hours/week
Start Date: Negotiable

Position Description
We are seeking an experienced Finance and Administration Coordinator to support bookkeeping and office operations. The Coordinator is responsible for ensuring sound financial procedures and efficient financial administration, including managing financial records, ensuring accuracy and completeness, and managing both accounts receivable and payable. This position requires a highly accountable individual who is adept at non-profit financial systems, accounts and cash flow management, financial accounting principles and tax regulations.
The Coordinator is also responsible for office administration within a participant-centred, feminist workplace.
Key Objectives/Primary Duties
Financial Administration (60%)
· Report directly to the Executive Director, and work collaboratively with leadership team to provide responsive bookkeeping services
· Maintain and update accounting records by recording all financial transactions in Sage50
· Maintain an organized digital filing system of all financial documents
· Maintain bank and credit account records; complete detailed monthly bank and credit card reconciliations to maintain financial accountability
· Complete payment and ensure accurate accounts payable and receivable records
· Prepare financial reports and summaries from accounting system; support cashflow and grants monitoring as needed
· Process payroll and payroll remittances
· Submit monthly payments to Receiver General
· Support submission of GST/HST returns
· Ensure compliance with accounting principles and tax regulations.
· Assist in completing year-end closing procedures in accounting software
· Attend regular meetings, as required
Office Administration (40%)
· Purchasing and tracking office supplies
· Tracking and organization of office equipment
· Coordinating with contracted services such cleaning and parking
· Coordinating membership database
· Supporting with office reception and administrative assistance to leadership team
· Other duties as required
Experience, Skills & Knowledge
YWCA St. John’s anticipates that candidates will possess the following experiences, skills, and knowledge:
- Completion of an undergraduate degree or diploma in a related field (i.e. Business Administration, Accounting)
- Strong knowledge of project accounting and experience with using Sage 50 (or comparable platform)
- Strong knowledge of financial accounting principles and tax regulations for non-profits
- Minimum 4 years of diverse,
related work experience (demonstrating specific experience with Primary Duties as listed above)
- Exceptional attention to detail and accuracy in financial data management
- Strong organizational and time management skills, with the ability to manage multiple priorities and meet deadlines
