Days Inn & Suites by Wyndham, North Bay is seeking a reliable, professional and guest-focused Front Desk Associate / Night Auditor. This is a part-time rotational position requiring availability for morning, evening and overnight shifts. The successful candidate will provide front-desk and guest services, process reservations and payments, complete check-ins and check-outs, respond to calls and emails, maintain accurate hotel records and complete night-audit and other office-related duties when assigned.
Main Duties and Responsibilities
- Welcome guests and provide courteous, professional and efficient customer service at the front desk.
- Complete guest check-ins and check-outs accurately and in accordance with hotel procedures.
- Receive, create, modify and cancel reservations made directly, by telephone, by email and through approved online reservation channels.
- Answer incoming telephone calls and respond to guest inquiries, reservation requests and hotel-related emails.
- Provide accurate information regarding room availability, rates, hotel services, policies and local information.
- Process cash, debit and credit-card transactions and follow established payment, authorization and cash-handling procedures.
- Operate the hotel's point-of-sale (POS), property-management, reservation and other front-office computer systems.
- Maintain accurate guest accounts, folios, reservation information, room status and shift records.
- Protect guest privacy and confidential information and follow hotel procedures for identification, payment information and account access.
- Respond to guest requests and coordinate with housekeeping, maintenance and other departments as required.
- Handle routine guest concerns professionally and refer escalated complaints, security concerns or unusual situations to the appropriate supervisor or manager.
- Complete office-related duties such as filing, data entry, printing, scanning,
preparing shift notes and maintaining front-desk records.
- Maintain a clean, organized and professional front-desk and lobby work area.
- Follow hotel safety, emergency and fire-safety procedures and report hazards or incidents promptly.
- For night-audit shifts, review daily transactions, guest accounts, payment postings and required reports and complete the hotel's end-of-day procedures.
- Communicate important information to the incoming shift and complete shift handover requirements.
- Perform other reasonable front-office, guest-service and administrative duties required for hotel operations.
Required Skills and Qualifications
- Strong customer-service and interpersonal skills.
- Good verbal and written communication skills for in-person service, telephone calls and email correspondence.
- Basic to intermediate computer knowledge and confidence learning hotel software and reservation systems.
- Ability to operate POS terminals and accurately handle cash, debit and credit-card payments.
- Good attention to detail when entering reservations, processing payments and maintaining guest records.
- Ability to maintain guest confidentiality and follow privacy and information-security procedures.
- Ability to work independently during night shifts and as part of a team during other shifts.
- Reliable, punctual, organized and able to manage multiple tasks in a quick-paced hotel environment.
- Previous hotel, front-desk, customer-service, office or cash-handling experience is an asset.
Shift Availability This is a part-time rotational position. Applicants must be able to work a combination of morning, evening and night shifts based on the hotel's scheduling and operational requirements. Weekend and holiday availability may be required.
Physical and Operational Requirements
- Ability to stand and walk for extended periods during the shift.
- Ability to perform light lifting, carrying and stocking of routine hotel supplies.
- Ability to complete property walk-around and move between guest-service and operational areas as required.
- Ability to perform reasonable tasks according to hotel operational requirements while maintaining guest service and safety.
Required / Employer-Provided Training The successful candidate must complete and maintain the hotel training required for the position, including:
- WHMIS training.
- Hotel fire-safety and emergency-procedure training.
- Payment handling, cash handling and credit/debit-card processing procedures.
- Online, telephone and email reservation procedures.
- Guest check-in and check-out procedures.
- Hotel property-management, reservation and POS system training.
- Guest privacy, confidentiality and information-security procedures.
- Telephone, email and front-office communication procedures.
- Night-audit and end-of-day procedures when assigned to overnight shifts.
