HOURS: 35 hours / week for 6 months over winter (starting around October 1st every year); 18 to 22 hour / week for 6 months over summer (starting around April 1st every year)
Agency Description:
Central Food Network is working to relieve poverty by providing food, heating supplies and other basic necessities to individuals and families who are in need. Through our Cardiff Food Bank, Highlands East Food Hub, and Community Cooks programs, we are increasing the quality and quantity of food available to people in the Highlands East region that need a hand. Our Heat Bank program delivers supports to households struggling with heat and hydro affordability across Haliburton County.
Program Description:
Heat Bank Haliburton County provides free & confidential support services to households that are struggling to keep the heat and/or hydro on in Haliburton County. The program provides emergency grants, firewood, advocacy & information and referral services as well as application assistance for LEAP & OESP hydro applications. Heat Bank also hosts yearly Income Tax clinics through CRA's Community Volunteer Income Tax Program as another tool to improve income supports for low-income households.
Job Overview The Client Services & Heat Bank Coordinator is responsible for coordination and day-to-day delivery of the Heat Bank program, including providing direct, client-centered services. This role ensures high-quality, client-centered service delivery by combining program leadership, operational coordination, volunteer support and frontline client engagement. The Coordinator monitors program needs & performance, maintains compliance with organizational policies and funder requirements, supports volunteers and works directly with clients to assess needs, provide supports and ensure services are delivered with dignity, efficiency and impact.
This position fosters a positive and inclusive environment for volunteers, program staff & clients. This position is entrusted with development and nurturing of relationships with program supporters, volunteers and partners and overseeing the facilities (wood depots) & stock. This position involves administrative, project management, client intake & some volunteer management responsibilities.
The Coordinator will support the successful delivery of the CVITP (Community Volunteer Income Tax Program) and OESP/LEAP (hydro credit & grants) services within the Heat Bank program.
Responsibilities
- 1. Direct Client Work (70% of time)
- Meet (virtually, by phone &/or in person) with clients to obtain information, signatures on forms and/or receive documentation for intake for Heat Bank services, including OESP, LEAP & CVITP as well as Food bank programs as needed
- Make grant recommendations and presenting cases to supervisor for further intervention outside eligibility parameters as needed
- Complete follow up & evaluation calls to clients as needed
- Identify and provide referrals and advocacy services to clients
- Attendance at outreach & community events
- Data entry into client management software (e.g. Link2Feed, HubSpot & Excel)
- Respond to general program inquiries
- Perform other direct client work as assigned
2. Volunteer Coordination & Scheduling (15% of time)
- Support and schedule Heat Bank volunteers (including CVITP volunteers during non-tax season months)
- Maintain communications with Heat Bank volunteers, including CVITP throughout non-tax filing season
- Record stats related to volunteer services for Heat Bank volunteers, including CVITP
- Assist with maintaining an updated volunteer database (e.g. Better Impact)
- Assist with recruitment and onboarding efforts of new Heat Bank volunteers
- Develop and carry out program-specific volunteer appreciation and recognition activities
3. Program Coordination & Administration (10% of time)
- Act as the primary contact for firewood donation offers, including responding to inquiries, assessing donation suitability and program needs, coordinating logistics, and communicating with donors and volunteers.
- Oversee projects and initiatives related to Heat Bank program operations.
- Maintain project management boards specific to Heat Bank projects
- Ensure client & volunteer files and other documents are maintained in accordance with agency procedures and government privacy directives
- Maintain program filing systems with efficiency and confidentiality as top concerns
- Back-up electronic documents and equipment as needed
- Data entry of program statistics and financial information
- Generate monthly statistical and anecdotal reports on service delivery
- Communicate with local partners, service providers, government staff
- Inventory program supplies & purchasing as assigned
- Scanning of documents into electronic file system
- Complete and submit accident and incident reports as necessary
5. Other duties (5% of time)
- Adopt safe work practices to prioritize the good health and safety of the work environment
- Other duties as assigned
Qualifications:
- Post-Secondary Diploma in Social Services or Human Services or equivalent
- 2 years Non-Profit or social service experience
- Experience with project/program coordination, volunteer coordination or community programming considered an asset.
- Deep understanding of poverty and barriers faced by low-income households.
- Ability to provide a clear Vulnerable Sector Check for working with vulnerable clientele
- Outgoing and positive personality
- Valid driver’s license and access to a reliable vehicle or access to independent transportation is required (public transit is not an option and the position involves some travel throughout Haliburton County)
Skills:
- Strong awareness of & commitment to confidentiality and privacy protocol
- Desire and ability to work compassionately with low-income people from diverse backgrounds in an empathetic and non-judgmental manner
- Commitment to client-centered (customer first) service delivery
- Experience with volunteering and/or volunteer coordination
- Strong communication abilities (speaking, listening and writing)
- Excellent organizational and team-building abilities
- Robust computer skills are needed, particularly MS Office & Google platforms (email, word processing, spreadsheets, databases)
- Ability to analyze variety of problems, identify causes and recommend solutions
- Self-motivated and ability to work independently as well as part of a cohesive team
Working Conditions & Location: This position offers a adaptable / hybrid work arrangement with the opportunity to work primarily from home. A portion of hours may be worked at the agency office depending on needs of the program. Staff must reside within Haliburton County or a reasonable commute. This position includes occasional meetings with clients, program partners and donors in the community and occasional meetings with clients in/at their homes.
This position requires access to independent transportation in order to travel throughout Haliburton County as well as travel to and from the agency’s main office at 2249 Loop Rd, Wilberforce, Ontario.
Occasional outside work & occasional after-hours work is required for special events.
This position involves working directly with others, including supervising program volunteers & students.
Physical Requirements:
This position requires significant time spent typing, using computers and speaking on the telephone. This position involves working with people in crisis. A small amount of lifting & bending is required.
