HR Coordinator

Position Summary The HR Coordinator provides comprehensive support across HR operations, recruitment and onboarding, payroll, benefits, employee records, health and safety, and compliance. The position ensures accurate and timely HR and payroll administration, responds to employee inquiries, supports reporting and audits, and contributes to continuous improvement of HR processes and policies while maintaining confidentiality and compliance with applicable legislation.

Key Responsibilities

1. HR Operations & Administration

- Assist with the day-to-day operations of HR functions and activities.
- Handle HR inquiries, including employee requests, questions, and general HR support.
- Maintain accurate and up-to-date employee records in compliance with applicable privacy legislation.
- Create and maintain employee profiles in the HRIS, consolidate onboarding documentation, and ensure documents are properly filed in employee records.
- Process employee movements and updates in the HRIS and employee files.
- Support the development and maintenance of HR manuals, policies, and procedures.
- Prepare HR-related reports, analysis, and documentation.
- Assist with HR audits by preparing required reports and documents and coordinating the collection and consolidation of information from other departments.

2. Recruitment & Onboarding

- Provide full-cycle recruitment support, including job postings, interview coordination, reference checks, and onboarding activities.
- Facilitate new hire orientations and safety training.
- Coordinate and maintain onboarding documentation and ensure all required employee records are completed and properly filed.
- Support recent employee setup and activation within HR systems.

3. Payroll & Compliance

- Assist with bi-weekly payroll processing in compliance with federal and provincial legislation and regulations.
- Review time and attendance records for accuracy and completeness.
- Assist with vacation pay updates, leave administration, special payments, Records of Employment (ROEs), and year-end payroll activities, including T4s, T4As, and tax reconciliations.
- Process payroll-related memos and adjustments.
- Prepare payroll reports, reconciliations, and vacation accrual reports.
- Prepare Employment Health Tax (EHT) and Workers’ Compensation Board (WCB) remittances on a quarterly and annual basis.
- Support payroll and HR compliance requirements and ensure accurate documentation.

4. Compensation, Benefits & Employee Programs

- Support group benefits administration and annual benefits renewal processes.
- Prepare benefits reports and assist with benefits reconciliations.
- Conduct compensation, wage, and market research to support competitive compensation practices and HR best practices.
- Support the annual salary review process.
- Assist with performance review processes and related documentation.

Employee Expenses, Reimbursements & Travel

- Coordinate hotel and flight bookings and communicate travel details to employees via email.
- Process employee reimbursement and mileage claims, including receipt verification, attendance and overtime checks, payroll memo entries, safety shoe tracking, and team budget verification.
- Prepare reimbursement reports and supporting documentation, ensuring accurate expense and GST breakdowns.
- Support company vehicle administration.

6. Health, Safety & Disability Management

- Support Joint Health and Safety Committee (JHSC) activities and initiatives.
- Administer workplace injury claims and support incident investigations and return-to-work programs.
- Coordinate monthly First Aid Kit inspections and workplace/site safety inspections.
- Facilitate safety training for new hires and employees.
- Support health and safety documentation, reporting, and compliance activities.

7. HRIS & Employee Support

- Provide support with Dayforce password resets and Blue Diamond activation codes.
- Maintain accurate employee information and records within the HRIS.
- Update employee status changes, movements, and other HR-related information in the HRIS and employee files.
- Respond to employee HR inquiries and provide timely administrative support.

8. Reporting, Analysis & Continuous Improvement

- Prepare HR, payroll, benefits, compensation, and workforce-related reports and analysis.
- Conduct research and analysis to support HR best practices and informed decision-making.
- Assist with HR audits, reconciliations, compliance reporting, and documentation.
- Support the continuous improvement of HR processes, policies, and administrative procedures.

Qualifications

- 2+ years of full-cycle payroll experience and 3+ years of progressive Human Resources experience.
- Experience in a manufacturing environment is considered an asset.
- Strong knowledge of British Columbia Employment Standards, Canada Revenue Agency (CRA) payroll requirements, and WorkSafeBC regulations.
- Payroll Compliance Practitioner (PCP) designation or actively working toward completion of the PCP designation.
- Experience using payroll systems and Human Resources Information Systems (HRIS); experience with Dayforce is considered an asset.
- Strong attention to detail and accuracy, particularly in payroll, employee records, reconciliations, and compliance-related activities.
- Excellent written and verbal English communication skills.




- Strong organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines.
- Ability to handle confidential employee and payroll information with discretion and professionalism.
- Strong interpersonal and problem-solving skills, with the ability to respond effectively to employee inquiries.
- Candidates with less experience may be considered for an HR Assistant position, with responsibilities and level of independence adjusted according to experience.

Employment Terms

- Probationary Period: 6 months
- Compensation: $27–$32 per hour, depending on experience
- Group Benefits: Available after 3 months of employment
- Work Schedule: Monday to Friday, 8:00 a.m. to 4:00 p.m.
- Hours: 40 hours per week
- Employment Type: Full-time, permanent
