Job Scope:
Reporting to the Director, Human Resource Manager - Canada, the HR/Office Administrator role supports various Human Resource and Office functions including reception, inventory, administration and General Enquiries.
Job Responsibilities
Human Resources Duties:
- Processing all data entry in HRIS
- Filing and maintaining employee records
- Preparing standard letters (employment letters, benefits forms)
- Assisting with onboarding paperwork
- Responding to basic employee inquiries
- Maintaining vacation, attendance, and HR documentation (basically HR documentation only)
- Responding to employee queries about policies, benefits, and procedures
- Helping implement and enforce HR policies and procedures in accordance with labor laws
- Ensuring confidentiality of all employee information and HR files
- Responsible for maintaining inventory,
distribution and ensuring availability of uniforms
- Coordinating the RAIC process for all employees
- Representing Plaza Premium as a Fire warden for the office building.
- Assigning Smart Travellers Point monthly.
- Updating data base for Gym benefit monthly
- Compile and file FTEs in SharePoint monthly
- Issuing Employee ID Badges
- Organizing Employee Engagement activities such as Monthly Birthday celebration in Mississauga office.
- Responsible for sending various communication via HRCanada email address to all active employees regarding different topics.
- Coordinating Word of Wisdom Monthly with other stations Office Administration Duties:
- Managing day-to-day office operations (e.g., supplies, equipment maintenance, vendor coordination, kitchen order such as coffee, healthy snacks, etc)
- Serving as the first point of contact for visitors' access, deliveries, and general inquiries · Organizing meetings, company events, and travel arrangements
- Maintaining office cleanliness and ensuring a safe, professional work environment
- Tracking expenses and assisting with invoice processing and POs
- Ensuring the common areas, especially the kitchen, is clean and organized. Ensuring coffee machine is functional and replenished with coffee beans, dishwasher is started/empty every day, fridge is clean and free from old food left behind.
- Handling incoming phone calls, emails, and correspondence, ensuring timely responses.
- Providing administrative support to the office staff, HR and management teams as needed.
- Helping maintain office efficiency through process improvement initiatives.
- Assisting with operational licensing documentation, application processes and tracking.
- Assisting in handling and performing day-to-day tasks, problem solving, guiding employees through processes and administrative tasks
- Ad-hoc projects as assigned from time to time
Job Requirements
Qualifications Required
- Minimum 1-2 years’ proven experience in HR administration, office management, or similar roles
- Familiarity with labor laws and HR best practices
- Excellent organizational and time-management skills
- Strong written and verbal communication skills
- Ability to maintain confidentiality and handle sensitive information
- Proficiency in MS Office Suite (Word, Excel, Outlook); HRIS or payroll systems a plus
- Able to multitask
- Takes initiative and capable of working independently.
- Self-motivated with positive attitude
- Detail oriented with strong analytical skills
- Proactive and responsible
- Excellent time management, able to prioritize tasks, and work under pressure.
- Bilingual French/English a strong asset.
- Excellent interpersonal skills.
- Able to obtain Transport Canada clearance for security pass (RAIC) to work at the airport.
Working Conditions
- Office environment with minimal exposure to adverse conditions.
- May require occasional lifting of office supplies (up to 25 lbs)
- Monday-Friday, Hybrid 1 day home/week
