Insurance Operations Specialist

Position Overview

We are seeking an experienced Operations Officer to join an onsite insurance operations team. The ideal candidate will have robust administrative and operational experience, preferably within the Life Insurance industry , along with excellent attention to detail and the ability to manage multiple priorities in a fast-paced environment.

This is a back-office focused role involving application processing, email management, client support, documentation, reporting, and coordination with internal teams.

Key Responsibilities

- Manage and respond to emails and requests in a timely and professional manner.
- Process insurance applications and related documentation accurately.
- Complete administrative and operational tasks according to established procedures.
- Review and maintain client/customer information and records.
- Accurately document and record customer information.
- Address client concerns and coordinate with appropriate internal teams when required.
- Collaborate with back-office and other internal teams to resolve issues and complete requests.
- Prepare and maintain monthly reports.
- Ensure assigned tasks are completed accurately and within established deadlines.
- Manage multiple priorities while maintaining a high level of accuracy and quality.
- Participate in weekly and monthly team meetings.
- Communicate effectively with both internal and external stakeholders.

Required Qualifications & Experience

- 5+ years of overall professional experience.
- 3+ years of experience in the Life Insurance industry , preferably in an administrative, operations, or sales-support capacity.
- Comprehensive knowledge of Life, Critical Illness, and Disability Insurance products and processing.
- Experience using MS Word and Excel .
- Experience with calendar management and scheduling.
- Strong administrative and organizational skills.




- Ability to accurately document and maintain customer/client information.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to work effectively both independently and as part of a team.
- Proactive approach with strong problem-solving and follow-through skills.
- University degree is considered an asset.

Nice-to-Have Qualifications

- Level 2 Life Insurance License or LLQP , or willingness to obtain it within the first six months.
- Professional designations such as:
- Certified Financial Planner (CFP)
- Chartered Life Underwriter (CLU)
- Chartered Financial Consultant (ChFC)
- Similar insurance or financial services designations
- In-depth understanding of insurance products, services, processes, procedures, and systems.
- Experience working with clients and wealth management teams.
- Strong relationship-building skills within a financial services or insurance environment.
