Are you a highly organized and compassionate Medical Office Assistant who is passionate about providing exceptional patient care and supporting community-centred healthcare? Squamish Nation is seeking a Medical Office Assistant (MOA) to join the Yúustway Health & Wellness team at Kal'númet Primary Care Clinic. Based primarily in the Squamish Valley, this role also provides occasional support to the West Vancouver clinic. Reporting to the Manager, Primary Care, the Medical Office Assistant provides comprehensive administrative and patient support services that contribute to the effective day-to-day operations of the clinic. This role is integral to ensuring accurate patient records, supporting providers with patient panel management, coordinating appointments and referrals, and fostering a welcoming, culturally safe, and trauma-informed environment for Squamish Nation Members and families.

What You’ll Do
- Provide exceptional, confidential, and culturally safe service to patients, families, and community members.
- Welcome patients and visitors, assess needs, and connect them with the appropriate healthcare providers or services.
- Respond to inquiries by phone, email, and in person in a professional, respectful, and efficient manner.
- Schedule and coordinate patient appointments, including preparing required documentation for visits.
- Maintain accurate, complete, and up-to-date patient information within the Electronic Medical Record (EMR) system.
- Generate and review patient reports to support providers with patient panel management and care planning activities.
- Process referrals, consultations, laboratory results, and medical documentation, ensuring timely follow-up with external healthcare partners.
- Coordinate communication and workflow between physicians, nurses, wellness staff, pharmacists, and other care team members.
- Perform medical office administration duties including filing, scanning, records management, and correspondence processing.
- Manage clinic and medical supplies, including inventory monitoring, ordering, stocking rooms, and equipment sterilization.
- Support quality improvement initiatives, clinic reporting, and continuous enhancements to administrative processes.
- Maintain compliance with privacy legislation, organizational policies, and confidentiality requirements while contributing to a welcoming, trauma-informed clinic environment.
What We’re Looking For
- Medical Office Assistant Certificate or Diploma from a recognized post-secondary institution, or an equivalent combination of education and experience.
- Minimum 1 year of directly related experience with a diploma, or 2 years with a certificate, performing medical office administration duties.
- Experience maintaining medical records, patient scheduling, referrals, and medical billing processes.
- Experience working in a family practice, primary care, or community healthcare setting is considered an asset.
- Proficiency with Electronic Medical Record (EMR) systems, including OSCAR or similar platforms.
- Advanced proficiency with Microsoft 365 applications, including Outlook, Word, and Excel.
- Experience working with large-scale computerized database systems.
- Strong communication and interpersonal skills with the ability to build positive working relationships.
- Exceptional organizational skills, attention to detail,
and the ability to manage competing priorities in a fast-paced environment.
- Commitment to Indigenous cultural safety, humility, and trauma-informed approaches to care.
- Sound judgment, professionalism, and discretion when handling sensitive and confidential information.
- Knowledge and understanding of Skwxwú7mesh Úxwumixw history, culture, customs, land, and People is preferred.

Salary: $57,990 - $81,186
