Job Summary A plastic surgery office in Oakville/Burlington is looking for a positive, compassionate, and highly organized Medical Office Assistant. The ideal candidate will have excellent interpersonal and communication skills, a strong attention to detail, and the ability to multitask effectively while providing a welcoming and skilled experience for every patient.

This is a full-time position and the successful candidate will play a central role in the day-to-day operation of the practice, serving as a key point of contact for patients, coordinating administrative activities, and supporting patient care across both clinic and hospital environments.

Qualifications & Experience

- Experience: Experience of patient care or medical administration experience in a healthcare or surgical setting.
- Core Competencies: Exceptional organizational, multitasking, and problem- solving skills with a proactive approach to handling administrative jobs.
- Specialty Experience: Background in plastic surgery, oncology care, or surgical sub-specialties is desirable.
- Education: Post-secondary education; Medical Office Administration diploma or equivalent combination of education and experience preferred.
- Technical Skills: Proficiency with EMR systems (Accuro or EPIC experience is a strong asset) managing referrals, appointment scheduling and Microsoft Office Suite.
- Billing & Records: Knowledge of OHIP/private insurance processes, health records management, and medical terminology.
- Interpersonal Skills: Demonstrated empathy, patience,



and compassion when interacting with patients and their families during sensitive treatments.

Key Responsiblities Patient Care & Clinical Coordination

- Serve as the primary point of contact for patients throughout their operative journey.
- Manage referrals, schedule clinic bookings and coordinate operating room (OR) time.
- Process new referrals and arrange necessary investigations, imaging, and lab work.
- Maintain patient waitlists and manage the Electronic Medical Records (EMR) database.
- Welcoming and checking-in all incoming patients, assisting patients to examination rooms. Prepare examination rooms and maintain clean, stocked clinical spaces.

Calendar & Communication Management

- Optimize surgeons' administrative, clinical, and academic calendars.
- Coordinate communication with hospital OR booking offices and other physicians.

Financial & Administrative Operations

- Manage financial administration: create invoices/receipts, collect payments, reconcile billing, and communicate with billing firms.
- Process OHIP and private insurance billing
- Perform general administrative duties, including scanning, filing, faxing, and ordering office supplies
