REP Physio is looking for an experienced, highly organized and motivated Medical Office Manager to join our Summerside clinic.
We are a busy, established and growing multidisciplinary physiotherapy practice with three locations in South Edmonton. We are looking for someone who can hit the ground running, take ownership and provide confident day-to-day leadership while remaining actively involved in the daily operations of the clinic.
This is a hands-on leadership position. Our Medical Office Manager will lead and support the administrative team while also working alongside them and participating in the day-to-day Medical Office Assistant (MOA) responsibilities required to keep a busy clinic running smoothly.

Who We're Looking For Our ideal candidate is an experienced medical office professional and confident, hands-on leader who is organized, approachable, solutions-focused and comfortable taking ownership.
You are someone who:
- Has previous medical office management, administrative leadership or senior healthcare administration experience
- Has strong hands-on experience with day-to-day medical office and reception responsibilities
- Can step into an established clinic and quickly become an effective member of the team
- Leads by example and is willing to work alongside the administrative team
- Takes initiative rather than waiting to be told what needs to be done
- Is comfortable providing direction, support and accountability to staff
- Has exceptional organizational and time-management skills
- Can confidently manage multiple competing priorities
- Identifies problems and follows through with practical solutions
- Communicates professionally and effectively with patients, staff, practitioners and ownership
- Maintains composure, professionalism and good judgment in a busy environment
- Understands the importance of both an exceptional patient experience and an efficient, well-run clinic
Key Responsibilities This position combines Medical Office Manager responsibilities with hands-on MOA duties.
Leadership & Clinic Operations
- Provide day-to-day leadership, direction and support to the administrative team
- Oversee front-desk and medical office operations
- Coordinate administrative scheduling and staff coverage
- Support recruitment, onboarding and training of administrative staff
- Establish priorities and ensure administrative responsibilities are completed accurately and on time
- Maintain high standards for patient service and communication
- Support consistent clinic policies, procedures and administrative standards
- Identify inefficiencies and help improve administrative systems and workflows
- Address day-to-day operational issues proactively and follow through on solutions
- Communicate and collaborate effectively with practitioners, clinic leadership and ownership
- Help foster a positive, professional, collaborative and accountable workplace culture
Day-to-Day MOA Responsibilities The Medical Office Manager will also actively participate in regular MOA responsibilities, including:
- Greeting and checking in patients
- Answering phones, emails and patient inquiries
- Booking, changing and managing patient appointments
- Managing practitioner schedules and waitlists
- Processing payments and providing receipts
- Direct billing and extended health benefit administration
- Managing MVA and WCB administrative processes
- Maintaining accurate patient information and documentation
- Managing referrals and clinic correspondence
- Supporting practitioners with day-to-day administrative needs
- Maintaining an organized and professional front-desk environment
- Assisting with other medical office and administrative duties as required
Qualifications & Experience Previous medical office or healthcare administrative experience is required.
Preference will be given to candidates with:
- Previous medical office management, supervisory or administrative leadership experience
- Experience in physiotherapy, rehabilitation or a multidisciplinary healthcare environment
- Experience leading, training or supervising administrative staff
- Strong knowledge of medical office operations, reception and scheduling
- Experience with Jane App or similar practice-management software
- Knowledge of MVA and WCB processes
- Experience with private and extended health insurance billing
- Strong computer and administrative skills
- Excellent written and verbal communication skills
- Experience with HR functions such as recruitment, onboarding, staff training, performance management and employee relations would be a strong asset
