Office Administrator

Bodyline Auto Recyclers is looking for a dependable, organized, and self-motivated Office Administrator to join our team.

This position is ideal for someone who enjoys staying busy, takes pride in organization, and is comfortable managing their workload without constant direction. Our office is fast-paced, and this role balances accounting, administration, customer and driver interaction, and general workplace support.

We are looking for someone who notices what needs to be done, follows tasks through to completion, and stays ahead of paperwork and account issues.

Key Responsibilities

Accounts Payable & Administration

- Enter supplier invoices and accounts payable accurately and on time.
- Reconcile statements and identify missing invoices, credits, payments, or discrepancies.
- Follow up with suppliers and customers regarding account concerns and missing documentation.
- Maintain organized filing and accounting records.
- Search for and verify purchase orders as required.
- Become familiar with regular customer and supplier accounts and billing practices.

Accounts Receivable & Billing

- Run aged receivable reports and follow up on overdue accounts.
- Monitor unresolved balances and ensure they continue to receive attention.
- Communicate professionally with customers regarding payments and account questions.
- Process point-of-sale payments, close invoices, bill sales, and verify accuracy.
- Process returns appropriately.
- Prepare and send customer statements.

Driver & Delivery Administration

- Check in drivers throughout the day.
- Review paperwork and ensure invoices, credits, payments, and balances are processed correctly.
- Resolve missing or incorrect documentation with drivers and staff.
- Ensure paperwork is complete before transactions are finalized.

Software & Systems Training will be provided for:
- Sage 50 / Simply Accounting
- Powerlink / Hollander

Previous accounting software experience is an asset, but accuracy, organization,



and the ability to learn new systems are most significant. Workplace Organization & Staff Lunches

Everyone contributes to maintaining a clean and organized workplace. This position will also include:

- Keeping office, filing, and shared areas organized.
- Assisting with basic office and kitchen cleaning.
- Planning simple weekly staff lunches and grocery lists.
- Picking up and putting away groceries and workplace supplies.
- Preparing staff lunches using proper food-handling practices.
- Completing dishes, kitchen cleanup, and sanitation after meals.
- Monitoring kitchen supplies and advising management when items need replenishing.

The ideal candidate will be comfortable moving between administrative duties and practical workplace tasks throughout the day. Hours & Scheduling

Monday to Friday | 9:00 a.m. – 5:00 p.m.

Specific hours may be somewhat negotiable for the right candidate. Flexibility is important, as there may occasionally be a need to stay later for deadlines or adjust hours based on staffing and business needs.

Guaranteed hours will remain available provided the employee is willing and available to work the agreed schedule and assist with operational needs when required. Hours will start on the lower end and increase following the training period.

The Person Who Will Thrive Here This role is best suited to someone who enjoys responsibility and variety. One part of the day may involve entering invoices and reconciling statements, while another may include helping drivers, following up on accounts, preparing billing, organizing paperwork, or preparing staff lunch.

Attention to detail is extremely important. We need someone who does not allow paperwork, receivables, credits, or unresolved questions to pile up.

Pay: $19.00-$25.00 per hour
