Job Overview

We are seeking a dynamic and highly organized Office Administrator to join our team! Duties

- Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and providing exceptional customer support with professional phone etiquette.
- Perform data entry tasks accurately using Microsoft Office applications, Google Workspace tools, and QuickBooks for bookkeeping and financial record-keeping.
- Organize and maintain filing systems—both physical and digital—to ensure easy retrieval of documents and compliance with record-keeping standards.
- Support administrative functions such as scheduling appointments, coordinating meetings, and preparing correspondence.
- Assist with medical or dental office tasks if applicable, including patient check-in/out, insurance verification, and maintaining patient records.
- Handle clerical duties such as proofreading documents, managing inventory supplies, and ensuring the office environment remains organized and welcoming.




- Provide excellent customer service by addressing inquiries promptly, supporting clients or patients efficiently, and maintaining professional communication at all times.

Skills

- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and QuickBooks for bookkeeping purposes.
- Extensive office experience with demonstrated organizational skills to manage multiple priorities effectively.
- Excellent data entry abilities with high accuracy and attention to detail; capable of typing quickly while maintaining precision.
- Prior clerical or administrative experience in a medical or dental office is highly desirable; familiarity with front desk operations is a plus.
- Knowledge of multi-line phone systems combined with excellent phone etiquette to handle calls professionally.
- Proven customer service skills to support clients or patients warmly and efficiently in person or over the phone.
- Ability to proofread documents carefully to ensure clarity and correctness; strong organizational skills to manage filing systems seamlessly.
- Experience with medical or dental office procedures such as patient scheduling, insurance processing, or dental receptionist duties is advantageous.
