New Patient & Financial Coordinator

Braces Plus Orthodontics is looking for an exceptional New Patient & Financial Coordinator to join our team.
This is a relationship-driven role at the heart of our new patient experience. You will often be the very first connection a new patient or family has with Braces Plus - and we want that connection to feel personal, welcoming, informative and distinctly us.
But this role is about more than being great with people.
We are looking for someone who combines an outgoing, relationship-focused personality with exceptional attention to detail. You'll help manage our new patient leads, coordinate treatment contracts and financial arrangements, and cross-train alongside our Insurance Coordinator.

What You'll Do
Own the Current Patient Experience
- Connect personally with new patient leads and referrals by phone, text and email.
- Build relationships from the very first conversation.
- Help families understand what makes Braces Plus different and the value of their consultation with our team.
- Follow up consistently with new patient inquiries and referrals.
- Help turn inquiries into booked consultations through genuine conversation and exceptional service.
- Ensure no new patient lead gets lost in the shuffle.
- Coordinate new patient appointments and help prepare patients and families for their first visit.
Financial Coordination
- Prepare and review new patient treatment contracts.
- Clearly explain treatment fees, payment options and financial arrangements.
- Help patients and families feel comfortable and informed when making financial decisions about treatment.
- Ensure contracts and financial documentation are completed accurately.
- Work closely with our Treatment Coordinator and clinical team as patients move from consultation into treatment.
Insurance Support
- Cross-train with our Insurance Coordinator.
- Develop a strong understanding of orthodontic insurance benefits and processes.
- Assist with insurance verification, submissions and follow-up when needed.
- Help patients understand how their dental insurance may contribute toward orthodontic treatment.
- Provide coverage and support within the insurance role as needed.

- Is exceptionally detail-oriented and organized.
- Can comfortably talk about treatment fees, contracts, payment options and insurance.
- Takes ownership and follows things through to completion.
- Notices the details others might miss.
- Enjoys learning and wants to understand the "why" behind what we do.
- Can balance relationship-building with strong administrative skills.
- Thrives in a busy environment where priorities can change throughout the day.
- Is a team player who is willing to jump in and support where needed.
Experience Previous dental or orthodontic experience is strongly preferred.
Experience with dental insurance, treatment coordination, financial coordination or dental administration would be a significant asset.
Most importantly, we're looking for the right combination of people skills, attention to detail and genuine passion for patient care.

Pay: $28.00-$35.00 per hour
