Help Us Build What the Front End of Healthcare Can Feel LikeModern Medical Hyperbaric Clinic is growing, and we are creating a new Patient Experience & Communications Coordinator role that brings together exceptional patient experience, communication, coordination and continuous improvement.

We want the person at the front of our clinic to help shape the patient experience, connect teams, improve workflows, strengthen communication and ensure patients feel supported through every step of their journey.

Many of our patients come to treatment five days per week for several weeks. They get to know us - and we get to know them. We want every patient to feel welcomed, remembered, supported and confident that when we say we will follow up, we will.

Position PurposeThe Patient Experience & Communications Coordinator owns the front-end patient experience and serves as a central communication and coordination link between patients, families, referring providers, the clinical team, hyperbaric chamber operations and clinic leadership. The role combines patient service, referral coordination, workflow ownership, communication, technology, knowledge management and continuous improvement.

This is an expanded front-end coordination role designed for someone who wants to learn the operation, earn trust, take ownership of outcomes, improve repeatable processes and help build systems that remain reliable as Modern Medical grows.

What You Will Own

- The front-end patient experience from first contact through follow-up.
- Day-to-day patient and clinic communications.
- Referral coordination and communication with referring offices.
- Patient statuses, follow-up visibility and front-end workflow accuracy in TELUS CHR.
- Consistent follow-through on patient needs, open requests and next steps.
- Front-end SOPs, FAQs, onboarding resources and knowledge organization.
- Continuous improvement of repeatable processes.
- A responsive, human and professional social/digital presence.
- Researching practical community resources that help patients access and remain connected to care.
- A welcoming, organized and ready patient-facing environment, including reception, signage, patient materials and the overall first impression of the clinic.
- Privacy and discretion in the reception area, with thoughtful attention to voice level, confidential conversations and patient comfort.

Clinical eligibility and treatment decisions remain with our Medical Director and clinical team. Your role is to support strong communication, documentation and follow-through throughout the patient journey.

What We Are Looking ForWe care about education and experience,



but we care just as much about how you think and how you work. A great candidate may come from healthcare - or from hospitality, private service, customer experience, administration, operations or another environment where people expect thoughtful, high-quality service.

- Post-secondary diploma in healthcare administration, office administration, business, communications, hospitality/customer experience or a related field, or an equivalent combination of education and relevant experience.
- Approximately 2-3 years of relevant experience preferred.
- Strong communication, organization and digital aptitude.
- Demonstrated ownership, judgement, curiosity and follow-through.
- Healthcare experience is an asset, not a requirement.

AssetsTELUS CHR or another EMR, OCEAN eReferral, Google Workspace, medical office administration, private-clinic experience, social media coordination, workflow/SOP development, process improvement, patient navigation, trauma-informed communication, de-escalation, motivational interviewing and responsible use of AI-enabled productivity tools. Compensation & Benefits$59,000–$68,000 annually, commensurate with education, experience and demonstrated qualifications. Modern Medical also offers eligible full-time employees a group benefits package. This is a full-time, on-site position in Thunder Bay, Ontario, averaging approximately 37.5 hours per week.
