Privacy/Records Management and Atrieve Coordinator Required For St. Paul Education The St. Paul Education Division Office, based in St. Paul Alberta, requires a Privacy/Records Management and Atrieve Coordinator to fill a recently vacated position. This is a full-time permanent position working 35 hours per week on a 12-month schedule commencing immediately.
About Us operates public, Catholic, and outreach programs across northeastern Alberta. We support a diverse team of certificated educators, educational assistants, and support services personnel. Our Central Office is dedicated to fostering a collaborative, community-focused workspace that ensures our staff are supported and compensated accurately.
The Role The Atrieve, WCB, Records Management and Privacy Specialist provides division-wide leadership and specialized support in the areas of Human Resources information systems (Atrieve), Workers' Compensation Board (WCB), records management, and privacy. The position leads the development and implementation of new Atrieve processes designed to maximize Division efficiencies, improve data integrity, streamline workflows, and enhance service delivery.
The position also provides leadership in the digitization and management of Division records, supports compliance with privacy requirements, and oversees WCB processes and related reporting. Working collaboratively across departments and schools, the position provides expertise, guidance, training, and process improvement to support effective and compliant Division operations.
Key Responsibilities Atrieve Human Resources Systems:
- Provide division-wide leadership in the development, implementation, and optimization of Atrieve processes.
- Analyze existing HR processes and identify opportunities to improve efficiency, accuracy, consistency, and service delivery through the effective use of Atrieve.
- Lead the design and implementation of current Atrieve processes, workflows, and system functionality.
- Work collaboratively with Human Resources, Payroll, Finance, school administration, and other departments to identify system requirements and develop effective solutions.
- Coordinate the implementation of Atrieve changes and enhancements, including planning, testing, communication, training, and implementation.
Records Management And Digitization
- Provide division-wide leadership and training for the development and implementation of effective records management practices.
- Lead the ongoing digitization of Division records and the transition from paper-based to electronic records management.
- Develop and implement standardized processes for the classification, organization, storage, retrieval, retention, and disposition of records.
Privacy and Information Management
- Provide leadership, guidance and training to the Division regarding the protection and appropriate management of personal information.
- Support the Division in meeting its obligations under applicable privacy legislation, Board policies, and administrative procedures.
- Provide advice to administrators and staff regarding the appropriate collection, use, disclosure, storage, retention, and disposal of personal information.
- Promote privacy awareness and responsible information management practices throughout the Division.
- Assist with the development and implementation of privacy procedures, guidelines, and training.
Workers' Compensation Board (WCB)
- Provide leadership and oversight for the Division's Workers' Compensation Board processes and requirements.
- Coordinate the reporting and documentation of workplace injuries and incidents to WCB within legislated timelines.
- Maintain accurate and confidential WCB records and claim documentation.
- Liaise with WCB, employees, school administrators, Human Resources, and other stakeholders regarding WCB claims and related matters.
Leadership, Process Improvement and Administrative Support
- Provide division-wide leadership in identifying opportunities to improve administrative processes, reduce duplication, and increase operational efficiencies.
- Process employee-related letters, including but not limited to hiring, termination, and other employment status changes.
- Facilitate cross-departmental collaboration to develop consistent and effective processes.
- Develop project plans, implementation timelines, communication strategies, and training plans for assigned initiatives.
- Establish appropriate measures to evaluate the effectiveness and efficiency of new processes and systems.
- Prepare reports, recommendations, and briefing materials for the Associate Superintendent of Human Resources and senior administration.

- Diploma or degree in Human Resources, Business Administration, Information Management, Records Management, Information Technology, or a related field.
- Minimum two years of progressively responsible experience in Human Resources, information systems, records management, privacy, or a related administrative environment.
- Demonstrated experience with Atrieve or a comparable Human Resources information system.
- Demonstrated experience leading system implementation, process improvement, or organizational change initiatives.
- Experience with Workers' Compensation Board processes is an asset.
- Experience with records management and digitization initiatives is an asset.
- Experience working with privacy legislation and the management of personal information is an asset.
- Experience working in a school division, public-sector, or other regulated environment is an asset.
An equivalent combination of education, training, and experience may be considered. Knowledge, Skills, And Abilities
- Advanced knowledge and demonstrated proficiency with Atrieve or comparable enterprise information systems.
- Demonstrated ability to analyze existing processes and design efficient, sustainable workflows.
- Strong project management and change-management skills.
- Strong understanding of data integrity, information security, and electronic records management.
- Working knowledge of Workers' Compensation Board processes and requirements.
- Strong understanding of privacy principles and the appropriate management of personal information.
