Required For St. Paul Education The St. Paul Education Division Office, based in St. Paul Alberta, requires a Procurement and Finance Clerk to fill a recently vacated position. This is a full-time permanent position working 35 hours per week on a 12-month schedule commencing immediately.

About Us operates public, Catholic, and outreach programs across northeastern Alberta. We support a diverse team of certificated educators, educational assistants, and support services personnel. Our Central Office is dedicated to fostering a collaborative, community-focused workspace that ensures our staff are supported and compensated accurately.

The Role The Procurement and Finance Clerk provides financial and administrative support to the Division, schools, and departments in the areas of procurement, accounts receivable, invoicing, school fees, School Generated Funds (SGF), payment processing software (KEV/School Cash Online). The position is responsible for procurement across the division, ensuring financial transactions are processed accurately and efficiently, records are maintained appropriately, and schools and departments receive timely and responsive financial support.

The Procurement and Finance Clerk serves as an important point of contact for school secretaries, administrators, department staff, vendors, parents, and other stakeholders regarding financial transactions and related processes.

Procurement Key Responsibilities:

- Provide support to schools and departments with procurement processes.
- Actively negotiate, identify efficiencies, and seek cost-saving opportunities for the Division.
- Assist staff in following Division purchasing policies, procedures, and authorization requirements.
- Support the processing and documentation of purchase orders and procurement transactions as required.
- Assist with vendor setup, maintenance, and related documentation.

School Generated Funds (SGF) / KEV/School Cash Online Support

- Provide financial support and guidance to schools regarding School Generated Funds (SGF).
- Support school secretaries and administrators in the appropriate recording, reconciliation, and reporting of SGF transactions.
- Provide support for the Division's KEV/School Cash Online system and related processes.
- Assist schools with troubleshooting and resolving KEV/School Cash Online related issues.

School Fees

- Administer and support the Division's school fee processes.
- Assist schools with the establishment, collection, recording, and reconciliation of school fees.




- Provide guidance and support to school secretaries and administrators regarding school fee procedures.

Accounts Receivable And Invoicing

- Process and maintain Division accounts receivable transactions in accordance with established policies and procedures.
- Prepare, issue, and maintain invoices for schools, departments, external organizations, and other parties as required.
- Monitor outstanding receivables and follow up on overdue accounts.
- Receive and process payments and ensure transactions are accurately recorded and reconciled.

General Finance And Administrative Support

- Provide responsive and professional customer service to school secretaries, administrators, department heads, vendors, parents, and other stakeholders.
- Maintain confidentiality and security of financial and personal information.
- Assist with financial audits, reporting, and year-end processes as required.
- Maintain accurate electronic and paper records in accordance with Division procedures.

- Post-secondary education in Accounting, Business Administration, Finance, or a related field is preferred.
- Previous experience in accounting, accounts receivable, financial administration, or a related field.
- Experience working in a school division, public-sector organization, or other complex administrative environment is an asset.
- Experience with accounts receivable, invoicing, procurement, or school-based financial administration is an asset.
- Experience with financial management systems, KEV/School Cash Online, Atrieve, or comparable systems is an asset.

An equivalent combination of education, training, and experience may be considered. Knowledge, Skills, And Abilities

- Strong understanding of basic accounting principles and financial controls.
- Strong attention to detail and accuracy in processing financial transactions.
- Excellent organizational and time-management skills.
- Solid analytical and problem-solving abilities.
- Strong written and oral communication skills.
- Ability to provide clear, helpful,



and respectful support to school and department staff.
- Ability to manage confidential financial and personal information appropriately.
- Proficiency with Microsoft Office, Google Workspace, spreadsheets, and financial software.
- Ability to work independently while contributing effectively to a collaborative Finance team.
- Demonstrated commitment to customer service and continuous process improvement.
- Occasional travel to Division schools may be required for training, meetings, or financial support.
