Job Summary The Estimating and Procurement Manager is responsible for developing and executing procurement strategies that support residential construction operations. This role oversees the purchasing of materials, services, and trade contracts while developing and managing a high-performing estimating and procurement team. The Estimating and Procurement Manager works closely with Construction, Design, Sales, Warranty, Finance, and Operations to ensure alignment on budgets, schedules, product standards, and supplier performance.

The role plays a key part in ensuring a reliable supply chain, cost control, and consistent operational efficiency across all projects.

Responsibilities

Leadership & Team Management

- Develop, lead, and mentor an estimating and procurement team to meet business needs.
- Set clear goals, performance expectations, and KPIs for the procurement team.
- Oversee workload distribution, prioritization, and workflow optimization to meet construction schedules.
- Foster a collaborative, solutions-oriented team culture focused on cost efficiency, accuracy, and quality.

Cross-Department Collaboration

- Partner closely with Construction teams to understand site priorities, material sequencing, and schedule requirements.
- Work with Construction and Operations to align on product specifications, cost data accuracy, and scope‑of‑work standards.
- Collaborate with Design and Sales to ensure material selections, finishes,



and product offerings are cost‑effective and readily available.
- Coordinate with Finance to support budgeting, cost forecasting, and invoice accuracy.
- Work with Warranty and Customer Service to address recurring material or trade issues and drive long-term improvements.
- Facilitate interdepartmental communication to proactively identify issues, reduce delays, and optimize workflows.

Strategic Sourcing & Procurement

- Develop and execute procurement strategies to support production schedules and cost targets.
- Identify, evaluate, and onboard suppliers, subcontractors, and trade partners.
- Conduct RFPs, market analyses, and competitive bidding processes to ensure optimal pricing and service.
- Negotiate contracts, scopes of work, pricing agreements, and volume discounts.

Vendor & Trade Partner Management

- Build and maintain strong relationships with suppliers and trades.
- Monitor vendor performance related to cost, schedule, quality, and service.
- Resolve supplier issues, backorders, delivery delays, and quality concerns.
- Ensure alignment with company safety and compliance standards.

Cost Control & Budgeting

- Collaborate with Operations and Finance to maintain accurate cost data and unit pricing.
- Track material cost trends, forecast impacts, and recommend cost‑saving initiatives.
- Support annual budgeting and product cost analysis.

Material Planning & Supply Chain Coordination

- Ensure timely and accurate purchasing of materials to meet construction schedules.
- Work with Site Supervisors and Construction Managers to anticipate material needs.
- Reduce waste, inefficiencies, and onsite material handling issues through proactive planning.

Contract Administration

- Issue purchase orders, contracts,



and change orders in accordance with corporate policies.
- Maintain complete and accurate documentation, supplier records, and contract files.
- Collaborate with Legal to ensure compliance with contractual and regulatory requirements.

Process Improvement

- Standardize procurement processes, templates, and supplier onboarding workflows.
- Implement technology and system improvements (ERP, purchasing software, etc.).
- Identify opportunities for cost reduction, product standardization, or alternative materials.

Qualifications

- 5+ years of experience in procurement or supply chain, ideally in residential construction or homebuilding.
- Strong negotiation, analytical, and contract management skills.
- Knowledge of building materials, construction processes, and trade scopes.
- Experience with purchasing or ERP systems (e.g., NewStar).
- Excellent communication and relationship building abilities.
