About Kitworks

Kitworks is a Toronto-based brand experience company creating custom kits, branded merchandise, PR drops, influencer kits, corporate experiences and custom packaging for some of Canada’s most creative brands and agencies.

We’re growing quickly and looking for a Production & Operations Manager to become the person who keeps everything moving behind the scenes. This is a hands-on role for someone who loves organization, logistics, problem solving and making things happen. You’ll be at the centre of our studio warehouse, ensuring product comes in correctly, projects stay on track, vendors deliver, inventory is organized and finished kits get out the door on time.

The Role The Production + Operations Manager will own the operational side of our projects from purchasing and receiving through production, fulfillment and shipping. You’ll work closely with our Account Managers, Designers and vendor partners to turn approved client projects into quality executed finished products.

What You'll Own

Production + Purchasing

- Source and identify vendors, products and production partners
- Request quotes and compare pricing, lead times and capabilities
- Track vendor orders from placement through delivery
- Follow up proactively on late or at-risk orders
- Build and maintain strong relationships with our vendor network
- Find creative solutions when products or production requirements change
- Maintain a database of trusted vendors and suppliers

Receiving + Inventory
- Receive all incoming products and materials at our studio
- Verify quantities and products against purchase orders
- Inspect shipments for damage, shortages or discrepancies
- Record and maintain inventory in our inventory management system
- Label, organize and store products so they are easy to locate
- Keep the studio warehouse organized and efficient
- Track product allocated to specific client projects
- Coordinate returns, replacements and damaged goods

Shipping + Logistics
- Coordinate and book domestic and international shipments
- Prepare shipping labels, documentation and packing requirements
- Track outgoing shipments and proactively identify delays
- Manage shipping issues, lost packages, damages and claims
- Communicate with courier companies and shipping providers
- Coordinate replacement shipments when necessary




- Ensure deliveries are completed within client deadlines
- Look for ways to improve shipping processes and costs
- Manage and maintain shipping supplies and packaging materials

Fulfillment + Production
- Create production and fulfillment plans for active projects
- Prepare pick lists, packing lists and production requirements
- Coordinate assembly and fulfillment schedules
- Ensure finished kits meet quality standards before leaving the studio
- Coordinate production days and ensure all required materials are ready
- Identify bottlenecks before they become problems
- Ensure projects are completed accurately and on schedule

Studio Operations
- Own the day-to-day operational organization of the Kitworks studio
- Ensure we always have adequate inventory of boxes, tape, labels, packaging and other shipping supplies
- Order supplies before we run out
- Maintain an organized, clean and productive workspace
- Establish systems for receiving, storing, picking and shipping product
- Help continuously improve how we work as the company grows

What Success Looks Like Six months into this role, we want to be able to say:
- Every incoming shipment is received, checked and organized
- We always know where our inventory is
- Vendors are being proactively managed
- Shipping issues are handled proactively
- Shipping supplies never unexpectedly run out
- Projects have clear production timelines
- Fulfillment is organized and scheduled in advance
- Our studio warehouse is organized and efficient
- Account Managers know projects are on track

Who You Are You are someone who gets things done.

You probably describe yourself as organized, resourceful and a little obsessive about details. You enjoy creating order out of chaos and don't need someone standing over you telling you what to do next. You are comfortable picking up the phone to a vendor partner, figuring out why a shipment is delayed,



finding a better supplier or jumping in to solve a problem.

You Bring

- 4+ years of experience in operations, production, logistics, purchasing, events, packaging, merchandising, e-commerce or a related field
- Post-secondary education in operations, supply chain, business, or a related field, or equivalent practical experience.
- Experience with inventory, shipping and project management systems (eg, Shipstation, Monday.com, Shopify etc)
- Strong project and time-management skills
- Excellent attention to detail
- Experience working with vendors and suppliers
- Experience with purchasing and purchase orders
- Experience coordinating shipments and couriers
- Solid organizational skills
- Comfort working with inventory and spreadsheets
- Ability to manage multiple projects and deadlines simultaneously
- Excellent communication skills
- Strong problem solving instincts
- Ability to prioritize without constant direction
- A willingness to be hands-on in a physical studio environment

The Reality of the Role

This is not a desk-only role. You will be based in our Toronto studio warehouse and will spend time moving between your computer, the warehouse, vendors, couriers and the production floor. There will be boxes. There will be last-minute changes. There will occasionally be a shipment that disappears. There will be days when everything goes perfectly and days when you must figure out how to get 200 products delivered tomorrow. We need someone who genuinely enjoys that.
