Project & Scheduling Administrator
Stubbs Communications is seeking a full-time Project & Scheduling Administrator at our Thedford office location.
Responsibilities:
· Coordinating, scheduling and documenting all incoming service calls and jobs
· Preparing Technician files and work orders, tracking change orders and creating invoices for all work and service calls performed
· Work with Technicians to follow up on all files to ensure work is completed, track change orders, document outstanding work, schedule all remaining work, and invoice accordingly
· Communicate effectively with clients and builders to project manage all jobs and service calls from beginning to end, and handle all filing in an organized manner
· Monitor production reports and perform job costing
· Follow up with all clients and builders to ensure client satisfaction, schedule additional service where required, and maintain a solid working relationship
· Handle all new and existing security and security monitoring clients, databases, and service calls (which may require after hours calls), to ensure proper paperwork, system issues and installations are complete
· Arrange sales meetings for sales representatives with clients, prepare files and presentations
· Manage client and company computer folders and files in Microsoft Office
· Collect outstanding receivables
Qualifications:
· Proficient use of Microsoft Office 365 including: Outlook, Excel, and Word
· Proficient use of Sage 50 Quantum Accounting
· Provide excellent client service
- Exceptional organizational, time management and follow through skills
- Excellent written and verbal communication skills
- Ability to multi-task and prioritize work in a busy and fast paced environment, on a daily basis
- Ability to handle rush projects and achieve tight deadlines
- Enjoy working in a team environment
