POSITION SUMMARY:
The Project Coordinator acts as the central point of contact between internal staff, external vendors, and third-party contractors, for many of the Municipality’s capital and non-capital projects.
The Project
Coordinator will be responsible for assisting and coordinating projects from the procurement phase through project closeout. The projects undertaken each year span a wide variety of disciplines, so Project Coordinator needs to be eager to learn and understand new subject matter.
The Project
Coordinator will be required to draft procurement documents and act as liaison between departmental staff and finance staff when procurements are conducted. Also, the Project Coordinator will assist in estimating costs for budgeting. Additionally, the Project Coordinator will assist in the development, maintenance and administration of asset management planning in the Municipality. Working with others the position helps to develop and maintain the Municipality’s asset management, service request and work order electronic systems. The position also contributes to grant composition and administration for the Municipality.
DUTIES & RESPONSIBILITIES:
Specific
1. Project management/coordination - managing external vendors and suppliers to successfully complete projects and/or contracts.
2. Contract administration - ensuring that contracts with suppliers/service providers are executed correctly.
3. Change management – ensuring that project scope/cost/schedule baselines are maintained and that any changes are tracked and approved.
4. Scope of work preparation – working with staff and/or external resources to create scopes of work that will meet procurement needs.
5. Assists with the maintenance and updating of data in the Municipality’s asset management electronic system.

Assists with capital project and asset management planning functions including cost analysis, condition assessment, lifecycle analysis and levels of service establishment.
7. Prepares and provides information to managers to assist with budgeting for assets including capital and repair and maintenance work.
8. Assists with the preparation of asset management reports and plans for internal or external use.
9. Assists with the administration of procurement processes in the Municipality.
10. Assists with the preparation of procurement documents like RFPs and tenders and the subsequent administration of awarded projects.
11. Assists with the administration of the Municipality’s service request and work order electronic systems, including the development of forms and procedures.
12. Assist with researching grant opportunities, writing applications and administering awarded grant-funded projects.
13. Performs miscellaneous job-related duties as assigned.

1. May perform a variety of general office duties.
2. May serve as backup for other positions as necessary.
3. May take minutes at meetings.
4. Ensures confidentiality of work-related information.
QUALIFICATIONS, KNOWLEDGE AND SKILLS:
1. Post-secondary degree or diploma, preferably in engineering, business or related field, or two years of experience or equivalent combination of education and experience
2. A background in procurement, contracting, or project management
3. Aptitude for working with numbers
4.
Ability to analyze and solve problems
5. Ability to draw cross-connections and inferences from different sets of data
6. Ability to deal with the public and other staff in a courteous and tactful manner
7. Ability to work independently without direct supervision
8. Valuable communication and computer skills including the use of complex electronic databases
9. A working knowledge of financial accounting is an asset
WORKING CONDITIONS:
1. Generally work in an office environment, but will perform field work either indoors or outdoors at various locations
2. Occasionally some light physical activity
3. No or very limited exposure to physical risk
