Project & Service Delivery Coordinator
6-Month Contract with possibility for full time extension
Location: Kingston, Ontario (Majority in-office with some at home flexibility)
- Contract Six months, with the potential to become a permanent full-time position
- Hours 25–35 hours per week (flexibility for the right candidate)
- Compensation $25–$32 per hour, based on experience and capabilities

We help federal, municipal, industrial and First Nations clients keep their drinking water and wastewater systems protected, compliant and well run through technical consulting, standard operating procedures, risk-management support, sampling programs and hands-on operations services. The Opportunity
We are hiring an organized, people-oriented coordinator to strengthen our project and service-delivery systems during a period of growth and transition. This is a hands-on role for someone who enjoys bringing order to moving pieces, following up diplomatically, learning new software and helping technical teams deliver excellent work.
You will support project managers, office staff and field personnel with project administration, data and document coordination, recruitment, vendor follow-up and selected digital systems. The role is initially a six-month contract. There may be an opportunity for it to become a permanent full-time position, depending on business needs, performance and mutual fit.
What You Will Do
Project and service-delivery coordination
- Maintain action lists, schedules, deliverable trackers and project files; follow up on commitments and flag risks early.
- Coordinate practical details for field staff, site work and client service, including schedules,
access information, travel details, equipment, laboratories and documentation.
- Help resolve routine vendor, supplier and subcontractor issues by gathering facts, tracking responses and escalating when needed.
- Prepare meeting agendas, capture decisions and action items, and keep the right people informed.
- Data, reports and document quality
- Collect, organize and quality-check project and sampling data; maintain accurate spreadsheets, logs and supporting records.
- Create and update Excel tables and charts, and help project teams turn raw information into client-ready material.
- Format and proofread reports, proposals, procedures and appendices in Word and PDF, applying templates, styles, images and revision control consistently.
- Recruitment and workforce support
- Support recruitment by posting roles, coordinating candidate communication and interviews, checking references, and organizing onboarding documents.
- Maintain current information about field-staff availability, qualifications and assignments, and communicate changes clearly.
- Build positive working relationships with employees, candidates, clients and external partners through responsive, professional follow-up.
- Digital systems and business support
- Help maintain Apollo and related contact or campaign data, including list hygiene, basic campaign setup, tracking and reporting.
- Coordinate routine website content updates and work with external service providers when technical changes are required.
- Assist with proposal assembly, customer and vendor records, recurring submissions,
resource-planning tools and other administrative needs.
- Learn and improve the software and workflows used by the team, including Microsoft 365, collaboration tools and appropriate AI-enabled tools.
What You Bring
- Exceptional organization, attention to detail and follow-through—you reliably close loops and keep others on track.
- Strong interpersonal skills and sound judgment; you are approachable, tactful and comfortable following up with different personalities.
- Two or more years of relevant project coordination, office administration, client-service or operations-support experience, or an equivalent mix of education and practical experience.
- Strong working knowledge of Microsoft Word, Excel, Outlook and Teams, including document formatting and spreadsheet organization.
- The ability and curiosity to learn unfamiliar software quickly and solve routine technology or process problems.
- Clear written and verbal English, careful proofreading skills and comfort handling multiple priorities in a small-company environment.
- The ability to work in person at our Kingston office for the agreed 25–35 hours per week.
Assets
- Experience with Apollo, a CRM or email-campaign platform.
- Experience updating a website through WordPress, Squarespace or a similar content-management system.
- Experience supporting recruitment, field-service teams, technical consulting or public-sector projects.
- Familiarity with water, wastewater, environmental services, laboratories or regulated industries.
