Role Description This is a part-time, independent contractor role based in Toronto, ON, with a combination of on-site property visits, pick-up and delivery of supplies, and work-from-home administrative tasks. Hours will vary weekly based on demand, between approximately 2-20 hours per week.

The Property Administrative

Assistant will handle day-to-day administrative support for property operations, including managing correspondence, organizing files and documents, sourcing contracts for repairs and maintenance, and maintaining property records and schedules. The role includes answering phone calls and emails, responding to inquiries from tenants and vendors, coordinating bookings, and supporting property-related logistics such as maintenance appointments and service requests. The assistant will prepare basic reports, track expenses, and assist with executive-level administrative tasks for the property owner, ensuring smooth and productive operations. Regular communication with the owner, service providers, and tenants is required, using professional and courteous phone and email etiquette. The role values responsive service, clear communication, and a professional approach to property management.





Qualifications

- Strong Administrative Assistance and Clerical Skills to manage documentation, scheduling, and day-to-day office tasks.
- Professional Phone Etiquette and Communication skills to handle tenant inquiries, vendor calls, and coordination with the property owner.
- Experience with Executive Administrative Assistance to support the owner with confidential information, calendars, and follow-up activities.
- Proficiency with standard office software (e.g., Microsoft Office) and basic data entry skills.
- Organized, detail-oriented, and able to prioritize multiple tasks in a fast-paced environment.
- Ability to work independently in a hybrid setting, showing reliability and initiative.
- Prior experience in property management, hospitality, an executive office or real estate administration is an asset.
- High school diploma required; post-secondary education in business, administration, or a related field is an advantage.
- Full Class G Ontario driver's Licence with a Clean Driver’s Abstract, and use of your own vehicle
