POSITION SUMMARY The Purchasing Specialist provides operational support to the Purchasing Department by maintaining accurate purchasing records, following up with suppliers, processing approved purchase orders, and supporting material and delivery tracking. The role works closely with the Purchasing Manager and internal departments to help ensure materials, documentation, and purchasing information are accurate and available when required.
KEY RESPONSIBILITIES
- Purchase materials, parts, equipment, and consumables based on operational and project requirements.
- Prepare and manage purchase orders and maintain accurate purchasing information within the ERP system.
- Obtain and compare supplier quotations based on price, quality, availability, and delivery requirements.
- Communicate and negotiate with suppliers regarding pricing, lead times, deliveries, and purchasing issues.
- Monitor open purchase orders and proactively address shortages, delays, backorders, and discrepancies.
- Support supplier sourcing and identify alternative products or vendors where required.
- Coordinate with internal departments to confirm purchasing requirements, priorities, and delivery expectations.
- Monitor supplier performance and escalate significant quality, delivery, or service concerns to the Purchasing Manager.
- Assist with resolving receiving, invoice, pricing, quantity, and purchase-order discrepancies.
- Support the Purchasing Manager with supplier reviews, cost-saving initiatives, inventory planning, and other purchasing activities.
QUALIFICATIONS AND EXPERIENCE
Required
- Post-secondary education in Business Administration, Supply Chain Management, Purchasing, Procurement,
or a related field is preferred; equivalent experience may be considered.
- 3–6 years of experience in purchasing, procurement, supply chain, inventory management, or a related role.
- Experience working directly with suppliers and managing purchase orders is preferred.
- Experience with customs documentation, cross-border shipping, and container shipments is considered an asset but is not required.
- Strong Microsoft Office skills, particularly Excel and Outlook.
- Working knowledge of purchase orders, supplier quotations, inventory information, product specifications, and delivery requirements.
- Ability to review and compare supplier pricing and purchasing information.
Assets
- Experience in a manufacturing, construction, fabrication, or project-based environment is considered an asset.
- Experience with ERP systems; Epicor experience is considered an asset.

Required
- Strong organizational and time-management skills with the ability to manage multiple purchasing priorities simultaneously.
- Strong supplier communication and relationship-management skills.
- Ability to negotiate routine pricing and purchasing terms while recognizing when issues require management involvement.
- Strong analytical and problem-solving skills when reviewing pricing, delivery, inventory, and supplier information.
- High level of accuracy and attention to detail.
- Ability to identify purchasing risks, material shortages, or delivery concerns and proactively recommend solutions.
- Strong interpersonal skills with the ability to work effectively across departments.
- Ability to work independently while operating within established purchasing policies and approval authorities.
WORKING CONDITIONS
- Work environment: Office
- Schedule: 8:00 AM – 4:30 PM
- Travel: Minimal to no regular travel expected.

Pay: $75,000.00-$80,000.00 per year
