JOB SUMMARY
Due to the continued growth of the clinic and the expansion of our operating hours, CLINICARE is seeking a second Receptionist to join our team.
Under the supervision of Management, the Receptionist plays an essential role in both the patient experience and the efficient day-to-day operation of the clinic.
The ideal candidate is professional, warm, proactive, organized and highly attentive to detail. They are comfortable managing multiple priorities while maintaining a calm, polished and patient-focused approach.
This position is ideal for someone who takes pride in delivering exceptional service and enjoys working in a high-end medical environment.
RESPONSIBILITIES
- Welcome patients warmly and professionally upon arrival and throughout their visit.
- Provide a personalized, attentive and elevated patient experience.
- Schedule, confirm, reschedule and manage appointments efficiently.
- Proactively optimize provider schedules by minimizing unnecessary gaps and making effective use of available appointment times.
- Manage cancellations, schedule changes and patient waitlists.
- Answer telephone calls, emails and patient inquiries promptly and professionally.
- Provide patients with accurate non-clinical information regarding appointments, clinic procedures and services, while appropriately referring medical questions to clinical staff.
- Process patient payments accurately and follow established clinic procedures.
- Maintain complete, accurate and well-organized electronic patient profiles and documentation.
- Review patient files and assist with maintaining the accuracy and integrity of patient records.
- Complete patient follow-up, recall and appointment-related communications when required.
- Collaborate closely with the other receptionist, medical providers, technicians and Management to ensure smooth communication and continuity of care.
- Anticipate patient and clinic needs and take initiative when additional support is required.
- Maintain the reception and waiting areas to CLINICARE's standards of organization, cleanliness and presentation throughout the day.
- Respond calmly and professionally to patient concerns and appropriately escalate sensitive or clinical matters when necessary.
- Assist with administrative projects and day-to-day clinic operations.
- Participate in clinic marketing initiatives, promotional activities and special events when required.
- Maintain strict professionalism, discretion and confidentiality regarding patient and clinic information.
- Perform other administrative duties related to clinic operations as required.
QUALIFICATIONS
- Minimum of two (2) years of experience in reception, administration, medical administration, hospitality or another high-level customer service position.
- Diploma or training in administration, secretarial studies, medical administration or a related field is considered an asset.
- Excellent spoken and written French.
- Strong spoken and written English is also required due to regular communication with English-speaking patients by telephone, email and in person.
- Exceptional interpersonal and customer service skills.
- Strong organizational skills and excellent attention to detail.
- Ability to manage multiple responsibilities while maintaining accuracy, professionalism and composure.
- Excellent verbal and written communication skills.
- Ability to work effectively both independently and collaboratively within a team.
- Strong computer skills and confidence learning and navigating scheduling, CRM and electronic patient-record systems.
- Experience using scheduling or CRM software is considered an asset.
- Experience in a medical clinic, dental clinic, medical-aesthetic clinic, spa, luxury hospitality or other high-touch service environment is considered an asset.
- Knowledge of or interest in medical aesthetics is considered an asset.
- Professional demeanor and polished communication skills.
- Proactive, dependable, punctual and reliable.
- Strong judgment, discretion and respect for patient confidentiality.

SCHEDULE
- Part-time to full-time position.
- Approximately 25–35 hours per week.
- Weekday shifts, Monday to Friday.
- Availability and flexibility within the clinic's operating hours are required.
- In office position.
