Job Overview Orbit Motor Carriers Inc. is an asset-based transportation company providing domestic and cross-border transportation services throughout Canada and the United States. We are looking for an experienced Safety & Compliance Coordinator to join our team and help maintain strong safety standards, regulatory compliance, driver performance, and fleet documentation.
DutiesThe successful candidate will be responsible for day-to-day transportation safety and compliance activities, including:
- Monitor driver Hours of Service (HOS) and review ELD/logbook records for violations.
- Review and audit driver logs, supporting documents, and Hours of Service compliance.
- Monitor driver compliance with Canadian and U.S. transportation regulations.
- Maintain driver qualification files and ensure required documents remain current.
- Monitor CVOR, driver abstracts, inspections, violations, convictions, and safety performance.
- Manage and follow up on roadside inspections, DOT inspections, and related violations.
- Monitor FMCSA/DOT compliance for U.S. operations.
- Review driver speeding, harsh braking, unsafe driving, and other telematics/safety events.
- Conduct driver coaching and corrective-action follow-ups when required.
- Assist with new-driver orientation and safety training.
- Maintain records of driver training and safety meetings.
- Monitor licence, medical, work permit, FAST card, and other driver-document expiry dates as applicable.
- Assist with accident and incident investigations, including collecting statements, photos, reports, and supporting documentation.
- Maintain accident, incident, claim, and inspection files.
- Communicate with drivers regarding safety concerns and corrective actions.
- Assist with insurance claims and provide documentation when required.
- Monitor vehicle and trailer inspection documentation and ensure defects are properly reported.
- Work closely with dispatch, maintenance, drivers, and management to resolve safety and compliance issues.
- Assist with internal safety audits and preparation for government or customer audits.
- Maintain organized and accurate safety records.
- Prepare weekly/monthly safety and compliance reports for management.
- Identify recurring safety issues and recommend corrective actions to reduce violations and accidents.
- Minimum 2–3 years of experience in a Safety & Compliance role within the trucking/transportation industry.
- Good understanding of Ontario CVOR requirements.
- Knowledge of Canadian Hours of Service regulations.
- Knowledge of U.S. DOT/FMCSA Hours of Service and transportation regulations.
- Experience reviewing ELD/logbook records.
- Familiarity with roadside inspections, driver qualification files, and compliance documentation.
- Experience with cross-border trucking operations is preferred.
- Strong computer skills, including Microsoft Excel, Word, and email.
- Experience with ELD/fleet management systems is an asset.
- Strong communication and organizational skills.
- Ability to communicate professionally with drivers, dispatchers, management, customers, insurance providers, and government agencies.
- Robust attention to detail and ability to manage multiple compliance deadlines.
Pay: $40,000.74-$43,000.00 per year
