Senior Accountant – Accounts Payable & Payroll
Location: Fully Remote — Candidate must reside in Ontario, Canada
Employment Type: Full-time
Salary Range: $75,000–$88,000
About the Role
We are looking for an experienced and hands-on Senior Accountant – Accounts Payable & Payroll to join our Finance team. This role will primarily own our accounts payable function while also taking responsibility for payroll processing across our Canadian and U.S. operations.
The role is expected to be approximately 70% accounts payable/accounting and 30% payroll. We are looking for someone who is strong in both areas and can independently manage their responsibilities with a high level of accuracy, organization and follow-through.
Key Responsibilities
Accounts Payable & Accounting
- Own the full-cycle AP process, including recording and coding vendor invoices, obtaining approvals, processing payments and responding to vendor inquiries.
- Ensure AP transactions are recorded accurately and on a timely basis, and properly validate invoices, supporting documentation and payment details before payments are processed.
- Manage AP across multiple entities and locations, ensuring invoices and payments are recorded in the correct entity, account and accounting period.
- Maintain vendor records and reconcile vendor statements and AP balances.
- Proactively follow up on outstanding invoices, approvals and payment issues.
- Manage employee expenses and corporate credit card transactions.
- Maintain AP schedules and ensure recurring or upcoming payment changes are accurately reflected.
- Identify duplicate invoices, unusual transactions and payment discrepancies before payment.
- Support month-end close, including AP reconciliations, accruals, prepaid expenses and journal entries.
- Support general bookkeeping, balance sheet reconciliations, audit requests and other accounting activities as required.
Payroll – Canada & U.S.
- Own and process biweekly Canadian and U.S. payroll, including regular and off-cycle payroll.
- Review payroll thoroughly before each submission to ensure hours, wage rates, overtime, commissions, bonuses, deductions and other changes are complete and accurate.
- Manage payroll-system setup and offboarding for employees, including compensation, tax jurisdictions, deductions, final pay and ROEs.
- Manage Canadian payroll requirements, including T4s, ROEs, remittances and year-end payroll activities.
- Work with U.S. payroll providers on federal, state and local payroll tax setup, workers' compensation and payroll-related issues.
- Respond to employee payroll questions promptly and independently investigate issues through resolution.
- Reconcile payroll to supporting schedules and the general ledger and work proactively to prevent recurring payroll errors.
Qualifications
- 3+ years of hands-on accounts payable experience and 3+ years of payroll experience.
- Strong full-cycle AP and bookkeeping experience in a high-volume and/or multi-entity environment.
- Hands-on Canadian payroll experience; ADP experience strongly preferred.
- Experience working with a U.S. payroll provider; Gusto experience is a solid advantage.
- Exposure to U.S. state/local payroll taxes and workers' compensation requirements.
- Experience with T4s, ROEs, payroll remittances and payroll-related employee setup/termination.
- Strong understanding of GL coding, reconciliations and month-end accounting.
- Strong Excel skills and attention to detail.
- Able to work independently, manage deadlines and follow issues through to resolution.
- Strong communication and problem-solving skills.
- Must currently reside in Ontario, Canada and be eligible to work in Canada.
What We’re Looking For
We are looking for someone who takes ownership of their work rather than simply processing transactions. The successful candidate will proactively maintain AP, understand what is happening with key vendors and payments, thoroughly review payroll before submission, and identify and resolve issues without requiring constant follow-up.
Accuracy, reliability and follow-through are critical for this role.
