The Opportunity

We are looking for a highly organized and detail-oriented Invoicing Clerk to join our Finance team. Reporting to Management/Ownership, this position plays an important role in supporting customer billing, accounts receivable, job costing, and revenue administration across our service, maintenance, and project divisions.

This role offers direct exposure to work orders, projects, contracts, technicians, project managers, dispatchers, and customers. You will gain valuable experience learning how labour, materials, purchase orders, and project costs translate into revenue and profitability.

For the right candidate, invoicing is the starting point rather than the destination. There is significant opportunity to expand into job costing, project accounting, revenue recognition, work-in-progress (WIP) accounting, and broader finance responsibilities as your experience grows.

Key ResponsibilitiesCustomer Billing & Invoicing

- Prepare and process customer invoices for service, maintenance, construction, and project work
- Review work orders, labour, materials, purchase orders, permits, and supporting documentation prior to billing
- Ensure invoices are accurate, complete, and submitted in a timely manner
- Assist with contract billing, progress billing,



and project invoicing
- Identify completed work that is ready for invoicing

Revenue Administration & Job Costing

- Review project costs and identify discrepancies requiring investigation
- Assist with job costing and revenue tracking activities
- Maintain accurate customer, project, and billing documentation
- Learn and support revenue recognition and work-in-progress (WIP) processes
- Apply and update permit statuses as required

Accounts Receivable & Customer Support

- Support accounts receivable activities and collections
- Investigate and resolve customer invoicing concerns
- Communicate billing issues with management and operational teams
- Provide excellent customer service while maintaining positive client relationships

Operational Collaboration

- Work closely with dispatch, sales, service, project managers, technicians, purchasing, and finance teams
- Support the smooth flow of information between operations and accounting
- Assist with process improvements and additional administrative or accounting duties as assigned

Qualifications & Experience

- Minimum one year of office administration experience
- Minimum one year of customer service experience




- Minimum one year of invoicing, accounts receivable, accounts payable, or general accounting experience
- Proficiency with Microsoft Office, including Excel, Word, and Outlook
- Strong written and verbal English communication skills
- Experience in construction, mechanical contracting, HVAC, service, project accounting, or job costing is considered an asset
- Diploma or degree in Accounting, Finance, Business, or a related field is considered an asset
- Individuals pursuing or interested in pursuing a CPA designation are encouraged to apply
